Job Description
Key Responsibilities:
1. General Office Administration

Greet and assist visitors, clients, and vendors with courtesy and professionalism.

Answer, screen, and direct incoming phone calls and take messages when necessary.

Manage the reception area and ensure it remains clean, organized, and welcoming.

Monitor and maintain office supplies inventory; place orders as needed.

Distribute incoming correspondence, memos, letters, packages, and deliveries.

Handle outgoing mail and coordinate with courier services for timely dispatch.
2. Clerical and Documentation Support
-
Perform data entry tasks and update internal databases and records accurately.

File physical and digital documents, reports, and invoices in a systematic manner.

Prepare letters, reports, presentations, and other documents under supervision.

Assist in printing, photocopying, scanning, and binding of documents for meetings or presentations.

Maintain confidential information with integrity and discretion.
3. Scheduling and Coordination
-
Assist in scheduling and confirming appointments, meetings, and conference calls.

Coordinate meeting logistics including room booking, refreshments, and equipment setup.

Help prepare meeting agendas, take notes or minutes, and distribute them to stakeholders.

Remind team members of upcoming tasks, deadlines, and follow-ups.
4. Support to Departments and Staff
-
Provide administrative support to HR, Accounts, Sales, or other departments as needed.

Help in onboarding new employees by preparing workstations, ID cards, and documentation kits.

Coordinate with IT or maintenance teams for repair requests or facility issues.

Support event planning such as workshops, employee gatherings, or training sessions.
5. Office Maintenance and Safety
-
Ensure cleanliness and hygiene of common office areas such as the kitchen, pantry, and meeting rooms.

Maintain first-aid kits, fire extinguishers, and other safety supplies in coordination with administration.

Report any malfunctioning office equipment or furniture to appropriate personnel.
