Job Summary
We are looking for a proactive, organized, and customer-focused Office Assistant - Marketing Executive to support our marketing and administrative activities in the insurance sector. The ideal candidate will assist in handling day-to-day office operations, client coordination, lead follow-up, documentation, and basic marketing tasks.
This role offers a blend of administrative support and marketing exposure, making it ideal for candidates who are eager to learn and grow within the insurance industry. Freshers or candidates with up to 2 years of experience are welcome to apply, especially those with good communication and multitasking skills.
Key Responsibilities
1. Office Administration Support

Manage and organize physical and digital client files, policy documents, and application forms.

Assist in daily administrative duties such as photocopying, scanning, data entry, and maintaining registers.

Coordinate appointments and schedule meetings between clients and insurance advisors.

Maintain a clean and professional work environment within the office.
2. Marketing Support

Assist the marketing team in preparing brochures, flyers, email templates, and presentations.

Help in organizing promotional campaigns, client seminars, or awareness sessions on insurance products.

Distribute marketing material through calls, WhatsApp, email, and in-person visits as needed.

Maintain updated records of client inquiries, prospects, and conversions.
3. Client Communication & Coordination

Follow up with existing and prospective clients over the phone or by email regarding insurance quotes, policy renewals, and documentation.

Coordinate between clients and agents to ensure timely completion of proposals and policy issuance.

Respond to basic client queries related to policy features, benefits, due dates, and claim process (training will be provided).

Remind clients of premium due dates and help them with renewal procedures.
4. Lead Management

Record and update client leads received through field agents, websites, referrals, or marketing campaigns.

Follow up with cold and warm leads via phone and WhatsApp messages.

Track lead conversion status and share weekly updates with the marketing or sales team.
5. Documentation & Compliance

Ensure all forms are filled accurately and necessary KYC documents are collected for insurance processing.

Assist in scanning and submitting documents to the underwriting or policy issuance department.

Maintain confidential records of clients securely and in compliance with company and regulatory guidelines.
6. Coordination with Sales and Back-Office Teams

Liaise with field sales executives and relationship managers for updates on policy status.

Support internal communication between departments such as underwriting, claims, and renewals.

Provide updates to the reporting manager on administrative tasks, pending documents, and marketing progress.
Required Skills and Competencies
1. Communication Skills

Clear and polite communication in English and local language (Telugu, Hindi, etc. as applicable).

Ability to interact professionally with clients both in-person and on calls.
2. Organizational Skills

Capable of handling multiple tasks such as data entry, document tracking, and follow-ups efficiently.

Detail-oriented with strong record-keeping ability.
3. Marketing Basics

Understanding of marketing support activities like creating simple materials, sharing campaign content, and handling customer inquiries.

Willingness to learn about insurance products and sales support techniques.
4. Software Proficiency

Basic knowledge of MS Office (Excel, Word, Outlook).

Experience with email marketing, CRM tools, or data entry systems is an advantage.
