Job Description
Key Responsibilities
1. Administrative Support
-
Perform general office duties including answering phones, responding to emails, and greeting visitors.

Maintain and organize office files (both digital and physical) for easy retrieval and audit compliance.

Assist in preparing documents, reports, memos, letters, and presentations as needed.

Coordinate internal communications and ensure timely dissemination of office updates or notices.
2. Office Operations
-
Ensure the office environment is clean, organized, and well-stocked with necessary supplies (stationery, pantry items, etc.).

Monitor usage and place orders for office supplies as needed in coordination with the admin or procurement team.

Handle incoming and outgoing mail, courier services, and document dispatches.
-
Maintain office equipment (printers, scanners, telephones, etc.) and liaise with vendors for repairs and servicing.
3. Recordkeeping and Documentation
-
Maintain records of employee attendance, visitors’ logs, maintenance schedules, and courier dispatches.

Assist in the filing of invoices, receipts, contracts, and HR documents.

Keep accurate logs for petty cash usage, vendor payments, and other office-related expenses if assigned.
4. Support to Teams
-
Assist other departments (HR, Finance, Marketing, Sales) with administrative tasks such as data entry, document formatting, or printing materials.

Help in coordinating meetings, preparing meeting rooms, and providing hospitality to guests or clients.

Support in organizing internal company events or training sessions by arranging logistics, refreshments, and materials.
5. Front Desk & Customer Service

Manage the reception desk (if assigned), attend to incoming calls, and direct inquiries to the appropriate person or department.

Greet walk-in visitors, handle general inquiries, and ensure a positive and professional first impression of the company.

Maintain a welcoming and professional front office space at all times.
6. Miscellaneous Tasks

Assist in travel and accommodation arrangements for staff as needed.

Help with document scanning, binding, filing, and other operational activities.

Carry out errands or deliveries within the local area (optional, based on company policy).
