Job Description
An Office Boy is an important support staff member responsible for ensuring smooth daily operations within an organization. While the primary duties often involve basic office maintenance, errands, and administrative assistance, in this role, the Office Boy also plays a crucial part in managing security-related tasks such as controlling entry and exit points, verifying identities, and responding to alarms or emergencies. This position requires reliability, attentiveness, and a willingness to handle varied responsibilities that contribute to the overall safety, cleanliness, and efficiency of the workplace.
Key Responsibilities:
1. Security and Access Control

Monitor and manage all entry and exit points within the premises.

Verify individuals and vehicles entering or leaving the premises to ensure proper authorization.

Control access to restricted areas, ensuring only authorized personnel are permitted entry.

Maintain an entry/exit logbook for visitors, contractors, and delivery personnel.

Issue and collect visitor badges or passes as per company protocol.
2. Surveillance and Monitoring

Stay alert and vigilant while monitoring movement inside and around the office or facility.

Observe and report any unusual or suspicious activities to the concerned authority.

Ensure that security equipment such as CCTV cameras are functioning properly and report faults promptly.
3. Emergency Response

Respond immediately to alarms, emergencies, or security breaches.

Take appropriate action such as containing the situation, guiding people to safety, or contacting security personnel.

Notify relevant authorities, including supervisors, police, or fire services when required.

Assist in evacuations and follow emergency procedures during drills or real incidents.
4. General Office Assistance

Serve refreshments such as tea, coffee, or water to staff and visitors.

Assist in setting up meeting rooms and ensuring they are clean and presentable.

Deliver documents, parcels, or messages within or outside the office premises as required.

Help with photocopying, scanning, and basic clerical work when needed.
5. Cleaning and Maintenance Support

Maintain cleanliness in the reception area, meeting rooms, and other office spaces.

Ensure that workstations, corridors, and common areas remain tidy.

Dispose of trash and ensure dustbins are emptied regularly.

Refill supplies like drinking water, tissues, and toiletries in designated areas.
6. Coordination with Other Staff

Assist administrative staff with minor tasks to ensure smooth office operations.

Report any maintenance issues (electricity, plumbing, furniture damage) to the appropriate department.
