Job Summary:

The Office Staff – Accounts is responsible for handling routine clerical and administrative tasks related to accounting and office operations. The role involves preparing bills, managing documentation, attending phone calls, and coordinating with customers. It is a support position ideal for candidates with basic computer skills, good organizational abilities, and a willingness to assist in day-to-day business activities.

This position plays a crucial role in ensuring the smooth functioning of office administration and provides key support to the accounts or finance department by managing paperwork, maintaining records, and interacting with clients professionally.

Key Responsibilities:

1. Billing and Invoicing

  • Prepare and generate invoices, bills, and receipts as per the company’s accounting format.

  • Ensure the accuracy of billing details, including customer name, services/products, tax, and due amounts.

  • Coordinate with the accounts team to update billing records and payment statuses.

  • File and maintain physical and digital copies of all billing documents.

2. Office Clerical Tasks

  • Manage and organize paperwork including forms, letters, reports, delivery notes, and purchase orders.

  • Assist with day-to-day administrative tasks such as filing, photocopying, scanning, and document sorting.

  • Maintain office supplies and stationery inventory, and notify management when stocks run low.

  • Keep internal records organized for easy retrieval and audits.

3. Customer Coordination

  • Attend to incoming customer inquiries and follow up on phone or email.

  • Coordinate with customers regarding invoice status, service updates, or general queries.

  • Handle customer concerns in a professional manner and escalate issues when needed.

  • Maintain a polite and service-oriented attitude in all customer interactions.

4. Telephone Handling

  • Receive and make official phone calls on behalf of the office.

  • Record and pass on messages to the concerned departments or staff members.

  • Maintain a register/logbook of important incoming and outgoing calls (if required).

5. Data Entry and Record-Keeping

  • Input billing details, customer data, and transaction entries into accounting or office software.

  • Ensure accuracy in all data entry activities.

  • Maintain soft and hard copies of records systematically for future reference or auditing.

6. Coordination and Support

  • Work closely with the accounts team, office manager, or admin to support internal operations.

  • Help in the preparation of simple financial summaries or monthly reports (under supervision).

  • Support logistics or dispatch operations as and when required.

  • Coordinate with vendors, service providers, or couriers for administrative tasks.

Skills and Qualifications:

Educational Requirements:

  • Minimum: Higher Secondary Certificate (10+2).

  • Preferred: Diploma or Bachelor's Degree in Commerce, Business Administration, or related fields.

Experience:

  • Freshers with basic computer skills and a willingness to learn will be considered.

Technical Skills:

  • Basic computer proficiency (MS Office – especially Excel and Word).

  • Knowledge of billing or invoicing software (Tally, Zoho Books, or others) is an added advantage.

  • Ability to type and format documents neatly and correctly.

Soft Skills:

  • Good verbal and written communication skills.

  • Polite, customer-friendly, and professional telephone etiquette.

  • Ability to organize, prioritize tasks, and follow instructions.

  • Honest, dependable, and detail-oriented personality.
