Position Overview:
An Office Staff member plays a crucial role in supporting the smooth and efficient operations of an organization’s day-to-day activities. They provide administrative and clerical assistance to management, employees, and clients, ensuring that office processes run without disruption. This position requires excellent organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
1. Administrative Support

Answer and direct incoming phone calls promptly and professionally.

Handle emails, letters, and other correspondence, ensuring timely responses.

Schedule appointments, meetings, and conference calls.

Maintain and update office calendars.
2. Clerical Duties

Prepare, organize, and store documents, reports, and records.

Maintain both physical and digital filing systems.

Draft simple correspondence, memos, and forms.

Photocopy, scan, and print documents as needed.
3. Reception and Front Desk Support

Greet and assist visitors in a friendly and professional manner.

Provide information to guests or direct them to the appropriate person or department.

Maintain visitor logs and ensure security protocols are followed.
4. Data Entry and Record Keeping

Input accurate data into spreadsheets, databases, and other systems.

Update contact lists, inventory records, and employee information.

5. Office Coordination
