1. Job Overview
The Office Staff plays an essential role in the smooth functioning of daily office operations. They are responsible for performing administrative, clerical, and support tasks to ensure that the office runs efficiently and effectively. Their duties may include managing files, handling documentation, coordinating with different departments, supporting managers, and assisting in various operational activities.
This role is suitable for freshers and experienced candidates who are organized, detail-oriented, and possess good communication and computer skills.
2. Key Responsibilities
A. Administrative Support

Handle day-to-day administrative tasks such as filing, photocopying, and scanning documents.

Maintain and organize office files, records, and data systematically.

Assist managers, team leads, and senior staff with documentation and coordination work.

Prepare reports, letters, and official correspondence when required.
B. Front Desk & Visitor Management
-
Greet visitors, clients, and vendors politely and direct them to the concerned person or department.

Handle incoming phone calls, emails, and queries efficiently.

Maintain visitor logs and ensure security protocols are followed.
C. Data Entry & Documentation
-
Enter and update data in company systems or spreadsheets accurately.

Maintain employee, customer, and vendor databases.

Prepare invoices, bills, quotations, and other documents when required.
D. Coordination & Communication
-
Coordinate between departments for smooth workflow and information sharing.

Assist HR, finance, and other departments in administrative functions.
-
Support the team in scheduling meetings, events, and training sessions.
E. Inventory & Office Supplies Management
-
Keep track of office supplies and manage stock levels.
-
Coordinate with vendors for procurement and timely replenishment.
-
Ensure proper maintenance of office equipment like printers, photocopiers, and stationery.
F. Support in Daily Operations
-
Assist in preparing work schedules and activity plans.
-
Follow up on pending tasks and ensure deadlines are met.

Handle small cash payments and expense reporting if required.
3. Required Skills & Competencies
A. Technical Skills

Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

Knowledge of basic accounting software or ERP tools (preferred but not mandatory).

Good typing speed and familiarity with office equipment.
B. Soft Skills

Excellent communication and interpersonal skills.

Good time management and multitasking abilities.

High attention to detail and accuracy.

Problem-solving and adaptability in a fast-paced work environment.
