Job Description
Job Summary:
The Online Financial Advisor Assistant provides critical support to financial advisors by handling administrative tasks, client communication, research, and preparation of financial documents. Working remotely or online, this role acts as a liaison between clients and financial advisors to ensure seamless advisory service delivery. The assistant will help maintain client records, assist with portfolio monitoring, and contribute to the preparation of financial plans and reports.
This position requires strong organizational skills, attention to detail, confidentiality, and a good understanding of financial products and market fundamentals. The ideal candidate is tech-savvy, customer-oriented, and capable of multitasking in a dynamic virtual environment.
Key Responsibilities:
1. Client Interaction & Support:

Respond promptly and professionally to client inquiries via email, chat, video calls, or phone.

Schedule and coordinate online meetings or consultations between clients and financial advisors.

Provide basic information about services, financial products, and processes to clients.

Assist clients with account setup, documentation submission, and troubleshooting platform access issues.
2. Financial Research & Data Gathering:

Conduct preliminary market research on investment options, mutual funds, stocks, bonds, insurance, and retirement plans.

Collect and organize client financial data, risk profiles, investment goals, and other relevant information.

Prepare summaries and reports for advisors based on client portfolios and market updates.
3. Documentation & Financial Plan Preparation:

Assist in drafting financial plans, proposals, and presentations using advisor-approved templates and software.

Maintain and update client files and databases, ensuring accuracy and compliance with data protection regulations.

Support advisors in preparing regulatory disclosures, compliance documents, and client agreements.
4. Portfolio Monitoring & Reporting:

Track client portfolio performance and generate periodic reports for review by financial advisors.

Alert advisors and clients about significant market events or portfolio deviations from planned targets.

Help coordinate portfolio rebalancing, asset allocation adjustments, and new investment recommendations.
5. Administrative & Operational Support:

Manage the calendar and schedule for financial advisors, including client appointments, webinars, and follow-ups.

Handle billing, invoicing, and payment reminders as per company procedures.

Maintain communication logs and ensure timely follow-up on pending client requests or issues.
6. Compliance & Confidentiality:

Adhere strictly to industry regulations, company policies, and confidentiality agreements.

Assist with internal audits and ensure all client records and communication meet compliance standards.

Stay updated on relevant financial laws and changes affecting advisory services.
