Job Role:-
Managing and coordinating travel bookings, itineraries, and reservations.

Handling vendor and supplier communications.

Ensuring smooth execution of travel services for clients.

Resolving operational issues and providing excellent support.

Maintaining records and documentation related to travel operations.

Experience in travel operations (preferred but not mandatory).

Strong organizational and communication skills.

Ability to multitask and work under pressure.

Proficiency in Microsoft Office and travel-related software is a plus.
Key Responsibilities:

Travel Itinerary Coordination:
-
Assist customers in planning, organizing, and customizing travel itineraries based on their preferences and budget.

Coordinate bookings for flights, hotels, transportation, and excursions to create seamless travel packages.

Ensure timely delivery of all travel documents, including tickets, vouchers, and itineraries.

Work closely with travel vendors (airlines, hotels, ground transportation companies) to secure the best deals and services for clients.

Customer Service & Support:

Provide exceptional customer service by addressing client inquiries, concerns, and requests regarding their travel arrangements.

Offer guidance on destinations, travel options, visa requirements, and travel insurance.

Resolve any issues or complaints raised by clients during the booking process or while on their trip.

Keep clients updated on any changes in their travel plans (e.g., flight delays, itinerary changes, etc.).

Logistics & Operational Management:

Manage the daily operations of travel bookings, ensuring that all logistics run smoothly and efficiently.

Monitor and track bookings, ensuring timely payment processing and confirmation of services.

Work with suppliers and service providers to ensure the quality and reliability of services offered to clients.

Handle the operational aspects of group tours, corporate travel, and special requests.

Documentation & Reporting:

Maintain accurate records of all travel bookings, invoices, payments, and client communications.

Prepare and submit regular reports on sales, booking trends, customer feedback, and operational challenges to senior management.

Ensure that all travel arrangements comply with company policies and legal requirements.

Supplier & Vendor Management:
-
Build and maintain relationships with key travel vendors, suppliers, and partners to negotiate the best deals for the company and customers.

Track and manage vendor contracts and agreements to ensure compliance with service level agreements (SLAs).

Evaluate new vendors and services to enhance the company’s offerings and improve customer satisfaction.

Marketing & Sales Support:

Assist the sales and marketing team by providing operational insights and support for promotional activities and campaigns.

Help manage the company’s website and online travel platforms to ensure up-to-date information and seamless booking processes.

Support with the creation of brochures, promotional content, and other materials related to travel packages and services.

Crisis Management & Problem Resolution:
-
Handle unexpected situations or emergencies, such as travel disruptions or client complaints, ensuring quick resolution.

Work closely with the customer service team to manage and mitigate operational risks, including overbookings, cancellations, and last-minute changes.

Offer alternative solutions and keep clients informed of any necessary adjustments to their travel plans.

Administrative Tasks:

Perform general administrative duties such as maintaining customer databases, filing documentation, and handling routine correspondence.

Prepare travel-related documents, reports, and presentations for internal meetings or client discussions.

Maintain records of bookings and financial transactions in compliance with company policies.
