Job Description
Job Summary:
We are seeking a hands-on Operations Manager to oversee the packing of couriers, handle basic website management tasks, and ensure smooth day-to-day e-commerce operations. The ideal candidate will be responsible for inventory tracking, processing website orders, managing listings, and assisting in customer communication. This is a full-time, in-office role requiring attention to detail, efficiency, and basic technical aptitude.
The role combines elements of warehouse coordination, online product management, and customer service, making it ideal for candidates with multi-tasking ability and a keen interest in e-commerce operations.
Key Responsibilities:
1. Order Packing & Dispatch Coordination:

Supervise and assist in the packing of customer orders neatly and accurately.

Ensure proper labelling, packaging material use, and safe handling of products.

Coordinate with courier partners for daily pickups and timely dispatch.

Track shipping status and handle returns or undelivered shipments if required.
2. Website Product Management:

Update and manage product listings on the company website.

Add or edit product images, descriptions, pricing, and tags as needed.

Ensure content accuracy and proper categorization of products.

Coordinate with the development team for website updates or technical issues.
3. Order Processing & Fulfillment:

Monitor orders received via the website and prepare picking/packing lists.

Generate invoices, print labels, and ensure orders are processed promptly.

Maintain proper records of daily orders and dispatch logs.

Handle order cancellations, exchanges, and refunds as per policy.
4. Inventory & Stock Management:

Maintain an updated inventory record for all products.

Perform regular stock checks and alert the management about low or excess stock.

Assist in stock pickups from vendors or storage units.

Coordinate inward entries of new stock and update the website accordingly.
5. Customer Support (Basic):

Respond to customer queries via email or website chat regarding order status, product info, returns, etc.

Forward technical or high-priority issues to relevant departments if needed.

Maintain a polite, professional, and prompt communication tone with customers.
6. Coordination & Reporting:

Act as a point of contact between operations, customer service, and the website development team.

Report website glitches, errors in orders, or unusual customer issues to the appropriate team.

Maintain daily/weekly reports for order volumes, dispatch performance, and stock status.

Suggest process improvements to reduce errors and improve efficiency.
7. Data Entry & Records Maintenance:

Maintain internal trackers for order status, stock movement, customer queries, and delivery updates.

Enter product details into the backend systems with accuracy.

Ensure proper documentation of order slips, invoices, return records, and courier bills.
