Job Description
Designation: Executive Assistant
Primary Responsibility:
- Assists the Director of the company in his day to day routine in areas such as administrative assistance, presentations, emails, daily routine written communication, diary maintenance, inter- departmental coordination and any other task assigned by the director from time to time.
Required Skills:
- Excellent personality and communication skills, Good command over language, good knowledge of MS-Office, skilled in written communication, very good with coordination and inter personal relationships.
KRA (Key Result Area)
Internal
- Maintain appointment diary.
- Prepare presentation for internal and external meetings.
- Coordinate with HODs and employees for various action points.
- Minutes every internal meeting with relevant action points and follow up for actions.
- Advice has the boss on important organizational and strategic decisions as and when required.
- Maintaining records of Insurance policy, Mutual funds, and shares.
- Maintaining EMI, LIC, Personal documents and property documents of Director.
- Any other task assigned by the director from time to time.
- Go for client meeting if required to understand their requirement and coordinate for implementation of the agreed projects with clients and the strategic partners.
- Travel coordination, payment coordination and follow ups on assignments.
- Understand client feedback and communicate the same to the internal authorities for necessary action.
- Manage appointments, follow up actions and communicate agendas for meeting to concerned people.
- Minutes writing for all critical meetings, follow up on action points, prepare PowerPoint presentations for internal and external meetings, be the face of the office of the Director and handle it with utmost honesty, confidentiality and sincerity.
- Internal:Feedback from Director.
- External:Feedback from internal and external customers, vendors business associate etc.
- Primary Internal Interactions:The Director and all the HODs directly reporting to the Director.
- Primary External Interactions:All clients and suppliers that the director directly deals with.
- Education Qualification::Graduate with a secretarial certification from a reputed institute.
- Work Experience::Fresher with good attitude and willingness to learn will be acceptable.
