Job Summary
We are seeking a highly dedicated and flexible Personal Assistant to support the Managing Director in an event management company. The ideal candidate must be available 24/7 during event schedules, manage day-to-day administrative tasks, and coordinate event-related activities efficiently. This role requires someone who can handle pressure, manage last-minute changes, and work behind the scenes to ensure smooth event execution.
Key Responsibilities
A. Executive Assistance & Scheduling

Manage the Managing Director’s calendar, travel plans, and event schedules.

Be available at any time during ongoing events, irrespective of working hours.

Prioritize urgent tasks and handle last-minute rescheduling effectively.
B. On-Ground Event Support
-
Act as the right hand of the Managing Director during events.

Ensure all event-related preparations, vendor coordination, and logistics are managed smoothly.

Monitor staff activities and vendor performance to ensure timely execution.

Keep track of event timelines and ensure everything runs according to plan.
C. Administrative & Operational Assistance

Handle emails, calls, and communications on behalf of the Managing Director.

Prepare and maintain invoices, quotations, purchase orders, and event-related documents.

Coordinate with different departments, vendors, and clients for seamless operations.
D. Confidentiality & Discretion

Handle confidential business information with complete integrity.

Maintain professionalism in all client and vendor interactions.
E. Travel & Logistics Management

Arrange travel, accommodations, and ground transportation during events.

Ensure smooth coordination for outstation or international events.
Required Skills & Competencies
A. Technical Skills

Proficiency in MS Office (Word, Excel, PowerPoint) and email handling.

Familiarity with event management tools and digital communication platforms.

Knowledge of vendor management and budget coordination is an added advantage.
B. Soft Skills

Strong organizational and multitasking abilities.
