Description of Job Key Roles & Responsibilities

A Personal Assistant (PA) to a Managing Director Managning Director's Provides Comprehensive Administrative,

Organizational, and Secretarial Support to Ensure the Smooth Operation of the Managning Director's office, Acting as a Key Communication link with Internal and External Stake Holders.

Responsibilities Typically Include Managing the Managning Director's Calendar, Arranging Travel and Meetings, Handling

Correspondence, Preparing Reports and Presentations, and Maintaining Confidentiality.

Essential Skills Include Excellent Communication, Organization, Time Management, Discretion, and the Ability to Work Independently and Under Pressure.

Key Responsibilities :-

Calendar and Schedule Management:

Manage the Managning Director's Complex Schedule, Book Appointments, and Ensure no Conflicts Arise.

Travel & Logistics :-

Arrange and Book Travel, Accommodation, and all related logistics for business trips.

Communication

Act as a Primary Point of Contact for all Communications, handling emails, phone Calls, and liaising with Staff, Clients, and other Stake Holders.

Document Preparation :-

Prepare, Organize, and Proofread Documents, Reports, Presentations, and Correspondence for the Managning Director's

Meeting Management :-

Schedule Meetings, Prepare Agendas, Take Minutes, and Ensure Follow-up on action items.

Information Management :-

Conduct Research, Compile Information for Projects, and Maintain Effective filing Systems

Project Support Assist with coordinating and Tracking Special Projects and Initiatives as Directed By the Managing Director

Administrative Oversight :-

Manage office Supplies and Equipment, and Contribute to a positive office environment.

Essential Skills

Organizational Skills :- Exceptional Ability to organize tasks, Information, and the Managning Director's Workflow.

Communication Skills :- Superior oral and Written Communication Skills to Effectively Interact with Diverse Stake Holders.

Discretion and Confidentiality :- Proven Ability To handle Sensitive and Confidential Information with Integrity.

Proactiveness :- Ability to Anticipate Needs, Stay one Step Ahead, and Take Initiative to Address Potential Issues.

Proficiency :- Strong Command of Standard office Software and Other Administrative Tools.

Adaptability :- Flexibility to Work in a fast-Paced, Demanding Environment with Changing Priorities.

Contribution to Effectiveness :-

A PA optimizes the Managning Director's Time by managing Administrative Burdens, Allowing the Director to Focus on Strategic Priorities and Decision-Making.
