Position Summary
We are a reputed financial services firm looking for a smart, dynamic, and professionally presentable female candidate to work closely with senior management as a Personal Assistant. This role is ideal for someone with a pleasing personality, strong organizational skills, and a passion for learning and professional growth. The selected candidate will gain first-hand exposure to the workings of the financial industry and have the opportunity to learn directly from top industry professionals.
The role includes a mix of administrative responsibilities, client coordination, and executive support, along with travel to attend meetings and client engagements when required.
Key Responsibilities
Executive Support

Provide comprehensive support to senior executives, including calendar management, appointment scheduling, and travel arrangements.

Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and follow-ups.

Prepare meeting agendas, presentations, and reports as needed.

Maintain confidentiality and professionalism in handling sensitive company and client information.
Client Coordination & Meetings

Assist in scheduling and coordinating client meetings, both virtual and in-person.

Accompany executives to client meetings, take notes, and ensure follow-up actions are recorded and executed.

Maintain good client relationships through timely communication and a courteous approach.

Represent the company in a professional manner during external meetings or events.
Administrative & Office Management

Organize files, records, and documentation in a structured and secure manner.

Manage office supplies and coordinate with vendors or service providers when necessary.

Handle day-to-day office tasks such as data entry, document formatting, printing, and scanning.
Travel & Logistics

Be comfortable with occasional travel within the city or outstation for client meetings, seminars, or conferences.

Coordinate logistics for business trips, including hotel bookings, transportation, and event registration.
Learning & Development

Work closely with leaders and subject-matter experts in the financial sector.

Stay updated with basic industry trends and support research-related tasks if needed.

Attend internal training or knowledge-sharing sessions as part of ongoing skill enhancement.
Candidate Profile
Educational Qualification
-
Graduate in any stream (Business, Finance, Commerce, or related field preferred)

Additional training in secretarial practices or executive assistance is a plus
Experience
-
0–3 years of experience as a Personal Assistant, Executive Assistant, Front Office Executive, or similar role

Freshers with the right personality and eagerness to learn are welcome

Excellent verbal and written communication in English (knowledge of other regional languages is a bonus)
