Job Description

Position Summary:

We are seeking a highly efficient, well-organized, and proactive Personal Assistant (PA) with a strong foundation in finance, Microsoft Excel, Word, and professional communication. The role involves close collaboration with senior management and requires the ability to manage both personal and professional responsibilities on a day-to-day basis. The ideal candidate must be fluent in English, exhibit strong interpersonal skills, and be ready and available for frequent travel, both across India and internationally.

This is a dynamic role for a motivated and detail-oriented professional who is comfortable managing schedules, coordinating travel, maintaining data records, handling accounts, and supporting decision-making through organized and timely assistance. The role offers significant financial growth based on performance, skills, and long-term dedication.

Key Responsibilities:

1. Schedule & Calendar Management

  • Manage and coordinate personal and professional calendars, meetings, appointments, and reminders.

  • Organize events, meetings, and appointments with precision and foresight.

  • Handle rescheduling or changes promptly and effectively.

  • Ensure timely alerts and preparation for meetings or travel commitments.

2. Data & Documentation Management

  • Maintain digital and physical filing systems for quick access and efficiency.

  • Organize and manage sensitive information with the highest degree of confidentiality.

  • Prepare reports, letters, business documents, and professional emails as required.

  • Maintain records of expenditures, financial transactions, and document logs.

3. Financial & Account Management

  • Assist in managing personal and official finances including petty cash, reimbursements, and budgeting.

  • Use Microsoft Excel to create and maintain detailed financial records, spreadsheets, and summaries.

  • Track, reconcile, and report on expenses, income, and balances.

  • Assist in account audits, invoicing, and payment follow-ups.

4. Travel Management

  • Plan and coordinate all travel arrangements – domestic and international – including flights, hotels, visas, and transport.

  • Ensure travel plans are efficient, cost-effective, and aligned with business/personal schedules.

  • Maintain detailed travel itineraries and manage travel-related expenses.

  • Provide support during travel when necessary, including real-time problem-solving and coordination.

5. Communication & Coordination

  • Act as the first point of contact between the executive and internal/external stakeholders.

  • Maintain professional communication, both written and verbal, in English.

  • Draft, review, and respond to emails on behalf of the employer when authorized.

  • Communicate effectively with vendors, staff, and service providers for both personal and professional matters.

6. Task Management & Follow-Ups

  • Keep track of tasks, commitments, and deadlines across multiple domains.

  • Ensure timely follow-ups and reminders to the employer and relevant parties.

  • Identify and anticipate the needs of the employer and address them proactively.

7. Confidentiality & Discretion

  • Handle all personal, professional, and financial information with the utmost confidentiality.

  • Exercise judgment and discretion when dealing with sensitive matters or private communications.

Required Skills & Qualifications:

  • Proven work experience as a Personal Assistant, Executive Assistant, or in a similar role.

  • Strong knowledge of Microsoft Excel (data entry, formulas, charts, etc.) and Microsoft Word (documentation, formatting, etc.).

  • Background or experience in basic finance or account management.

  • Excellent written and verbal communication skills in English.

  • Strong interpersonal and organizational skills.

  • Ability to multitask and prioritize daily workload.

  • High level of professionalism, integrity, and reliability.

  • Ability and willingness to travel frequently within India and abroad.
