Job Description
Key Responsibilities
1. Executive and Administrative Support
-
Manage and maintain the Chairman’s daily schedule including meetings, calls, events, and appointments.

Prepare daily briefings and reminders of tasks, deadlines, and priorities.
-
Draft, review, and manage internal and external correspondence on behalf of the Chairman.

Maintain strict confidentiality of all sensitive information and documentation.
2. Calendar and Meeting Management
-
Organize meetings, conferences, and appointments with internal departments and external stakeholders.

Prepare agendas, take minutes, and ensure action items are followed up.

Coordinate logistics such as venues, catering, AV equipment, and required materials.
3. Travel and Itinerary Planning
-
Plan and book national and international travel including flights, accommodations, visas, transport, and schedules.

Prepare detailed travel itineraries and ensure all arrangements are confirmed in advance.
-
Handle travel changes and emergencies with efficiency and discretion.
4. Communication and Coordination
-
Act as a point of contact between the Chairman and staff, clients, business partners, and regulatory authorities.

Screen and prioritize phone calls, emails, and visitor requests.
-
Coordinate with heads of departments to gather reports, updates, or inputs as requested by the Chairman.
5. Document and File Management
-
Organize and maintain digital and physical filing systems for contracts, letters, reports, and meeting materials.

Assist in preparing reports, presentations, and data summaries for internal and board-level use.
6. Event and Engagement Support
-
Assist in planning personal or professional events attended by the Chairman, such as board meetings, public appearances, press events, or corporate gatherings.

Manage RSVPs, prepare speeches or briefing notes, and coordinate follow-ups.
7. Personal Assistance
-
Support the Chairman with select personal tasks such as scheduling family appointments, household coordination, or other lifestyle management requests as needed.

Oversee special projects or errands on behalf of the Chairman as requested.
