Job Description
- Maintain all hard copy and digital records for ongoing executive projects
- Assist in creating and distributing meeting minutes for the monthly manager’s meetings and other executive meetings
- Deliver and pick up business related correspondence in the immediate geographic area
- Work with executive administrative team to create spreadsheets and presentation information for trade shows and meetings
- Prepare the conference room for sales presentations and staff meetings
Key Responsibilities
1. Calendar and Schedule Management

Manage the executive’s daily calendar, appointments, and meetings with internal and external stakeholders.

Schedule and coordinate meetings, conference calls, and events.

Ensure timely reminders and follow-ups for meetings, deadlines, and travel plans.
2. Travel and Logistics
-
Organize domestic and international travel including flights, hotel reservations, ground transportation, and visa arrangements.

Prepare detailed itineraries and ensure all travel-related documents are arranged in advance.

Handle changes in travel plans and resolve unexpected issues promptly.
3. Communication and Correspondence
-
Act as the point of contact between the executive and internal/external contacts.

Screen phone calls, emails, and messages, and respond or redirect as appropriate.

Draft, review, and manage official correspondence, memos, and reports on behalf of the executive.

Take accurate meeting minutes and distribute them in a timely manner.
4. Document and File Management

Organize and maintain physical and digital files, documents, records, and reports.

Prepare presentations, spreadsheets, and summaries as requested.

Maintain confidentiality of all sensitive and private information.
5. Task and Project Management

Manage daily administrative tasks to ensure the executive’s time is focused on critical activities.

Coordinate and track progress of delegated tasks or special projects.

Help prioritize work based on urgency and importance.
6. Office and Personal Support

Assist in organizing personal tasks such as errands, appointments, and family schedules if required.

Handle procurement or coordination for gifts, events, or celebrations.

Support the office administration team when needed (supplies, coordination, filing, etc.).
