Position: Personal Assistant
Location: Pitampura, New Delhi
Salary: ₹15,000/month (during probation)
We are looking for a responsible and enthusiastic Personal Assistant (PA) to provide personalized administrative support to our management team. This role requires someone with strong communication and organizational skills, capable of handling a wide range of tasks with discretion and efficiency.
Key Responsibilities:
1. Calendar and Schedule Management:

Maintain and organize the executive’s daily calendar, ensuring all meetings, appointments, and commitments are accurately scheduled.

Send meeting reminders, prepare briefing materials, and handle scheduling conflicts.

Plan and coordinate internal and external meetings, including logistics such as venue booking, catering, and equipment.
2. Travel and Logistics Coordination:

Make domestic and international travel arrangements, including flight bookings, hotel accommodations, visas, ground transportation, and itineraries.

Ensure that all travel plans align with the executive’s schedule and preferences.

Prepare travel expense reports and coordinate reimbursements as per company policies.
3. Communication and Correspondence Handling:

Screen and respond to emails, phone calls, and messages on behalf of the executive as needed.

Draft, edit, and format official correspondence, reports, presentations, and meeting notes.

Maintain a high level of confidentiality while dealing with sensitive communications.
4. Meeting and Event Coordination:

Organize and attend meetings as required, taking detailed notes and following up on action points.

Prepare agendas, compile documents, and ensure materials are ready in advance of meetings.

Arrange corporate or personal events, both formal and informal, including off-sites, client dinners, or celebrations.
5. Administrative Support:

Maintain filing systems—digital and physical—for important documents, records, and contracts.

Track and manage office supplies, subscriptions, and vendor services if relevant to the executive.

Liaise with internal departments and external clients or vendors on behalf of the executive.
6. Project Assistance and Research:

Assist with special projects by conducting research, gathering information, and preparing summaries or presentations.

Track progress of delegated tasks and ensure timely completion.

Provide support in data analysis or reporting, especially for executive decision-making.
7. Personal Errands and Support (if required):

Manage personal appointments, reminders, family schedules, and errands for the executive if agreed upon.

Handle confidential matters such as bill payments, gift purchases, or household coordination when necessary.
