Job Description
Key Responsibilities
1. Calendar and Schedule Management

Maintain the executive’s calendar by scheduling meetings, appointments, travel arrangements, and personal engagements.

Monitor deadlines, upcoming tasks, and key dates, ensuring timely reminders and preparations.
-
Coordinate internal and external meetings, including booking venues, preparing agendas, and ensuring materials are ready in advance.

Act as the gatekeeper to manage demands on the executive’s time, prioritizing and organizing commitments effectively.
2. Travel Arrangements and Itineraries

Arrange complex travel plans including flights, accommodation, car services, and visas when necessary.

Prepare detailed travel itineraries with all essential contacts, meeting information, and logistical details.

Manage last-minute travel changes or cancellations and handle emergencies when required.

Reconcile travel expenses and submit expense reports on behalf of the executive.
3. Communication and Correspondence
-
Manage incoming and outgoing emails, letters, and calls, prioritizing urgent communication and responding when appropriate.

Draft, proofread, and format professional documents, memos, and reports.

Take minutes during meetings and distribute notes and follow-ups accordingly.

Serve as the primary liaison between the executive and internal teams, clients, or external partners.
4. Administrative and Organizational Support

Maintain physical and electronic filing systems to ensure documents are organized and accessible.

Process invoices, manage petty cash, and assist in preparing financial documents or reports.

Order office or personal supplies as needed and manage subscriptions or memberships.

Coordinate with other departments to ensure requests and tasks are completed smoothly.
5. Confidentiality and Discretion

Handle sensitive and confidential information with the highest level of discretion.

Safeguard business or personal information related to the executive’s work or private life.

Build trust by managing personal tasks, such as booking medical appointments, family coordination, or event planning.
6. Project and Event Coordination

Assist with planning and execution of internal events, meetings, or special projects.

Track project deadlines, compile data, and prepare status updates or reports for review.

Collaborate with other departments or external vendors to execute tasks efficiently.

Monitor progress and alert the executive of pending decisions or potential bottlenecks.
