Job Description
Job Responsibilities:
- Managing the executive’s calendar and scheduling appointments
- Handling phone calls, emails, and correspondence
- Preparing and editing reports, presentations, and documents
- Organizing meetings and taking minutes
- Making travel and accommodation arrangements
- Maintaining confidential files and records
- Performing general administrative tasks as needed
Key Responsibilities:
1. Calendar & Schedule Management
-
Manage and coordinate the executive’s daily, weekly, and monthly calendar.

Schedule appointments, meetings, and events efficiently, avoiding conflicts.
-
Send reminders and ensure the executive is informed and prepared for meetings in advance.

Prioritize meetings based on urgency and importance.
2. Communication Handling
-
Manage incoming calls, emails, and messages on behalf of the executive.
-
Draft, proofread, and respond to correspondence professionally and promptly.

Act as a gatekeeper, screening communications and ensuring only relevant messages reach the executive.

Maintain a record of key contacts and ensure follow-ups are tracked.
3. Travel Coordination
-
Plan and organize domestic and international travel including flights, hotels, transportation, and itineraries.

Prepare travel packs with schedules, maps, and contacts.

Handle travel rescheduling and cancellations when required.

Submit travel expense reports and manage reimbursements.
4. Administrative Support
-
Maintain and organize physical and digital files and documents.
-
Prepare reports, presentations, spreadsheets, and documents as needed.

Assist with research and data collection for meetings or projects.

Coordinate courier deliveries, official documents, and other admin-related logistics.
5. Meeting & Event Management
-
Organize and prepare materials for internal and external meetings.

Take accurate minutes of meetings and distribute summaries or action items.

Book venues, arrange refreshments, and manage guest lists for business events.

Ensure meetings run smoothly and start on time.
6. Personal Assistance Duties
-
Assist the executive with personal tasks such as event planning, household coordination, or appointments.
-
Purchase gifts, send greetings, or manage personal errands as instructed.
-
Maintain confidentiality regarding personal and professional information.
7. Task Management
-
Track ongoing tasks or projects and follow up with internal and external stakeholders.

Ensure deadlines are met and the executive is updated on pending tasks.

Handle small projects independently as delegated.
8. Liaison and Coordination
-
Serve as a liaison between the executive and other employees, clients, or stakeholders.

Coordinate with departments such as HR, Finance, Admin, or Legal for approvals or support.

Ensure the executive’s instructions are communicated and implemented accurately.
