Job Summary:

A Personal Assistant (PA) provides high-level administrative support to an individual executive or senior manager, ensuring the smooth operation of their day-to-day responsibilities. The PA plays a vital role in helping executives make the best use of their time by handling a wide range of administrative, organizational, and clerical tasks.

This role requires discretion, efficiency, excellent communication skills, and the ability to multitask. Personal Assistants act as the primary point of contact between the executive and internal/external stakeholders, managing schedules, communications, and ensuring tasks and deadlines are met efficiently.

Key Responsibilities:

1. Calendar and Schedule Management:

  • Manage the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.

  • Prioritize and coordinate conflicting appointments.

  • Send timely reminders and prepare necessary materials for upcoming engagements.

  • Ensure the executive’s schedule is optimized and well-organized.

2. Communication Handling:

  • Manage incoming emails, calls, and other forms of communication.

  • Draft, proofread, and send correspondence on behalf of the executive.

  • Act as a gatekeeper and point of contact for both internal teams and external parties.

  • Maintain discretion and confidentiality in all communications.

3. Travel and Logistics Coordination:

  • Organize detailed travel itineraries including flights, hotels, transportation, and visas (if applicable).

  • Prepare travel expense claims and reimbursements.

  • Ensure all travel-related needs are met smoothly and efficiently.

4. Meeting and Event Support:

  • Arrange meetings, conferences, and video calls, including logistics, agenda preparation, and note-taking.

  • Coordinate with attendees, book meeting rooms, and ensure technical support is available.

  • Follow up on action items and meeting outcomes.

5. Document and File Management:

  • Maintain organized and up-to-date records, files, and databases (both digital and physical).

  • Draft and edit reports, presentations, and memos as required.

  • Manage sensitive documents with a high degree of confidentiality.

6. Administrative Support:

  • Handle routine administrative tasks such as filing, printing, ordering supplies, and managing correspondence.

  • Conduct basic research and compile data for reports or presentations.

  • Support with personal tasks if required (such as booking appointments, managing reminders, or handling household services).

7. Stakeholder Coordination:

  • Liaise with clients, business partners, and vendors on behalf of the executive.

  • Maintain professional and courteous relationships with key contacts.

  • Prepare the executive for external engagements by providing background information and briefing documents.

Required Skills and Competencies:

  • Strong Organizational Skills: Ability to manage multiple tasks and priorities with accuracy and efficiency.

  • Excellent Communication: Fluency in English (written and verbal) with professional-level email etiquette.

  • Discretion and Integrity: Ability to handle sensitive and confidential information responsibly.

  • Time Management: Capable of working under pressure and meeting deadlines.

  • Technological Proficiency: Proficiency in MS Office (Outlook, Word, Excel, PowerPoint), calendar apps, and video conferencing tools (Zoom, Google Meet, MS Teams).

  • Problem-Solving Abilities: Able to proactively anticipate needs and resolve issues with minimal supervision.

  • Adaptability: Flexibility to adjust to changing priorities and schedules.

  • Professionalism: High standards of conduct, presentation, and work ethic.
