Job Overview:
We are looking for a highly organized and proactive Personal Assistant (PA) to provide comprehensive support to senior management or company leadership. This role demands a confident and efficient professional who can manage administrative tasks, coordinate schedules, handle confidential information, and ensure that day-to-day operations run smoothly.
The ideal candidate must possess excellent communication skills, good judgment, and the ability to multitask under pressure. A strong sense of responsibility, time management, and discretion are essential for success in this role.
Key Responsibilities:
1. Executive Calendar and Scheduling

Manage and organize the daily calendar of the executive or reporting manager.

Schedule appointments, meetings, and events, ensuring no overlaps or conflicts.

Send reminders and prepare materials ahead of meetings or conferences.

Coordinate internal and external meetings with staff, clients, and partners.
2. Travel and Logistics Management

Handle all travel arrangements, including flight bookings, hotel reservations, local transport, and travel itineraries.

Prepare travel expense reports and ensure proper documentation of costs.

Coordinate with travel agencies or vendors as needed.
3. Communication and Correspondence

Manage incoming and outgoing emails, calls, and messages on behalf of the executive.

Draft and format professional letters, memos, reports, and presentations.

Respond to routine communications and escalate critical matters as appropriate.

Serve as the first point of contact for visitors or callers when the executive is unavailable.
4. Administrative Support

Maintain and organize office files, documents, and confidential records (digital and physical).

Handle minor office administration tasks, such as stationery orders or vendor coordination.

Prepare minutes of meetings and follow up on action points.

Track project deadlines and ensure timely updates to the reporting authority.
5. Personal Assistance

Assist with personal tasks such as appointments, payments, errands, or events (if required).

Maintain discretion while managing private or sensitive matters.

Support with daily task lists and reminders for both professional and personal commitments.
6. Task and Project Coordination

Assist in the coordination and execution of internal projects.

Track progress, send reminders to team members, and compile updates for the manager.

Liaise with different departments and ensure alignment with executive objectives.
