Job Description
Job Summary:
We are looking for a proactive, organized, and trustworthy Personal Assistant (PA) to provide high-level administrative, organizational, and personal support to a senior executive or business owner. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling communication, and assisting in both professional and personal tasks.
The Personal Assistant must possess excellent time management, communication, and problem-solving skills, while maintaining confidentiality, discretion, and a high degree of professionalism. This role requires someone who can multitask effectively, work independently, and anticipate the needs of the individual or team they support.
Key Responsibilities:
1. Calendar & Schedule Management:

Organize and manage the executive’s calendar, including scheduling meetings, appointments, calls, and travel plans.

Set reminders for important events, deadlines, and meetings.

Ensure scheduling conflicts are resolved efficiently and all parties are informed promptly.
2. Communication Handling:

Screen and manage phone calls, emails, and messages, responding where appropriate and flagging important matters.

Draft, proofread, and edit business correspondence, emails, and reports on behalf of the executive.

Act as a liaison between the executive and clients, employees, vendors, and other stakeholders.
3. Travel & Event Coordination:

Book travel arrangements including flights, hotels, transport, and itineraries for both domestic and international trips.

Organize off-site meetings, conferences, events, and private functions as required.

Ensure all logistical details are arranged and communicated clearly in advance.
4. Administrative Support:

Maintain confidential documents, files, records, and databases in an organized and accessible manner.

Prepare reports, presentations, spreadsheets, and agendas as required.

Handle basic bookkeeping, expense reports, reimbursements, and petty cash tracking.
5. Personal Assistance (as applicable):

Run personal errands such as shopping, gift arrangements, bill payments, or home-related appointments.

Coordinate with household staff or service providers when necessary.

Make personal bookings or reservations (e.g., restaurants, salons, doctors, etc.)
6. Task & Project Management:

Assist in following up on projects, tasks, or communications on behalf of the executive.

Track progress of key action items and ensure timely execution.

Conduct online research, gather information, or summarize findings for decision-making.
