Job Description
We are seeking a highly organized and proactive Personal Secretary to assist with administrative and personal tasks. The ideal candidate will handle scheduling, correspondence, and daily tasks to ensure smooth operations.
Duties:
• Manage calendars, appointments, and meetings.
• Handle emails, phone calls, and correspondence.
• Organize travel arrangements and itineraries.
• Prepare reports, presentations, and documents.
• Maintain confidentiality and handle sensitive information.
• Conduct research and provide summaries as needed.
• Perform general administrative tasks, including filing and record-keeping.
• Assist with personal errands and other ad hoc duties.
Key Responsibilities
1. Calendar & Schedule Management
- Manage and organize the executive’s daily schedule, meetings, and appointments.
- Prioritize and coordinate travel plans, conferences, and events.
- Send reminders for important meetings and deadlines.
2. Communication & Correspondence
- Handle emails, phone calls, and other communications on behalf of the executive.
- Draft letters, reports, and official documents.
- Act as a point of contact between the executive and internal/external stakeholders.
3. Office & Administrative Support
- Maintain confidential records and files.
- Organize documents, reports, and presentations.
- Ensure smooth office operations by coordinating with other departments.
4. Travel & Event Planning
- Arrange flights, hotels, transportation, and travel itineraries.
- Plan and manage corporate events, business dinners, and networking engagements.
- Handle visa processing and international travel requirements if needed.
5. Task & Project Coordination
- Follow up on tasks assigned by the executive and ensure timely completion.
- Conduct research and provide insights to assist decision-making.
- Support in project management and execution of business strategies.
6. Confidentiality & Professionalism
- Handle sensitive business and personal information with discretion.
- Maintain a high level of confidentiality in all interactions.
