Job Description
Key Responsibilities

Scheduling and Calendar Management:
Manage and maintain the executive's calendar, including setting appointments, scheduling meetings, and organizing travel itineraries. Ensure the executive is aware of daily commitments and prepare materials needed for meetings or events. -
Communication Management:
Handle incoming and outgoing correspondence such as emails, phone calls, and letters. Respond to routine inquiries, screen calls, and redirect messages as needed. Draft, proofread, and send professional communications on behalf of the executive. -
Meeting Coordination:
Schedule, prepare, and organize meetings, including preparing agendas, taking minutes, and following up on action items. May also attend meetings to assist with documentation and follow-through. -
Travel Arrangements:
Organize domestic and international travel, including booking flights, accommodations, transportation, and creating detailed travel itineraries. Prepare travel-related documents such as visas, tickets, and schedules. -
Document and File Management:
Maintain organized records and filing systems—both digital and physical. Prepare reports, presentations, spreadsheets, and other necessary documentation as directed. -
Confidential Support:
Handle sensitive information with utmost discretion and professionalism. Manage confidential files and ensure data privacy at all times. -
Personal Errands and Tasks:
Depending on the nature of the position, assist with personal tasks for the executive such as booking appointments, sending gifts, or coordinating family schedules. -
Office Support Duties:
May handle office supply inventory, order materials, maintain expense records, and assist with invoice or payment processing when required. -
Liaison Role:
Act as a point of contact between the executive and staff, clients, partners, or external agencies. Relay messages, follow up on requests, and represent the executive in a professional and courteous manner. -
Time and Priority Management:
Help the executive prioritize tasks and ensure deadlines are met. Remind them of important events or commitments and provide support to avoid scheduling conflicts.
