Job Description

Wants personal secretary and he should do any kind of work and who knows driving also. He should be aware of each work he has to do. He should be having the zeal to do any kind of work. he can know the skills of audit, balance sheet and driving too. 

Key Responsibilities:

1. Executive Support and Administration:

  • Manage the daily schedule of the executive, including appointments, meetings, calls, and travel.

  • Coordinate and handle correspondence such as emails, phone calls, letters, and messages.

  • Act as the first point of contact and manage communications on behalf of the executive.

  • Prepare meeting agendas, take minutes, and follow up on action points as required.

  • Handle document drafting, formatting, and filing for reports, memos, presentations, and official communication.

  • Organize office logistics, supplies, and ensure a smooth workflow in the executive’s environment.

2. Driving and Mobility Support:

  • Drive the executive to appointments, meetings, site visits, and other locations as needed.

  • Maintain the assigned vehicle in top condition, ensuring regular servicing, cleanliness, and compliance with local driving regulations.

  • Keep track of fuel expenses, tolls, parking charges, and vehicle-related records.

  • Handle travel-related arrangements including local travel and airport pickups/drop-offs.

3. Audit and Financial Support:

  • Assist in internal audits by collecting, organizing, and presenting financial documents for auditors.

  • Maintain accurate records of expenses, invoices, and vouchers.

  • Coordinate with auditors, accountants, and finance departments to provide necessary information and documentation.

  • Ensure timely filing of financial records and compliance with audit requirements.

  • Monitor deadlines for financial submissions, tax filings, and statutory compliance.

4. Balance Sheet and Accounting Assistance:

  • Help in the preparation and review of financial statements including profit & loss, balance sheet, and cash flow statements.

  • Verify entries, reconcile accounts, and ensure accuracy in ledgers and financial reports.

  • Assist in budgeting, financial planning, and expense control.

  • Maintain confidential financial records for the executive’s business and/or personal investments.

  • Work closely with accountants to ensure timely financial reporting and documentation.

5. Personal Assistance:

  • Handle personal tasks for the executive such as family coordination, utility payments, travel planning, and special projects.

  • Assist in event planning and management of personal or professional functions.

  • Shop for and manage inventories related to office supplies or executive requirements.

  • Coordinate with vendors, service providers, and staff as needed.
