Job Description
Job Overview:
The Personal Secretary to the Managing Director will provide high-level
administrative support, ensuring that the MD's schedule is organized and all
tasks are executed efficiently. The role requires a proactive and professional individual
who can handle sensitive and confidential matters while managing multiple
priorities. The ideal candidate will have excellent communication skills,
exceptional organizational abilities, and the ability to anticipate the MD's
needs.
Key Responsibilities:
- Manage the MD's schedule, including arranging meetings, travel, and personal appointments.
- Prioritize and ensure the MD is aware of key events and deadlines.
- Ensure the MD’s availability for important meetings and events.
- Handle phone calls, emails, and written correspondence with a high degree of professionalism and confidentiality.
- Draft, proofread, and prepare documents, presentations, and reports for the MD.
- Arrange complex travel itineraries, including flights, accommodation, and transportation.
- Prepare travel documents and ensure the MD is fully briefed on travel schedules.
- Schedule and coordinate meetings, including setting agendas, taking minutes, and ensuring follow-up actions.
- Prepare meeting rooms, ensuring all necessary equipment and materials are available.
- Perform administrative duties such as filing, photocopying, and maintaining records and databases.
- Maintain the MD’s contacts and address book, ensuring accuracy and accessibility.
- Handle sensitive information with discretion and integrity.
- Safeguard confidential and proprietary information from both internal and external sources.
- Assist with the preparation and organization of internal and external events, such as conferences, corporate meetings, and staff gatherings.
- Provide support in ongoing projects by coordinating tasks and communicating progress updates.
- Occasionally manage personal tasks for the MD, including family-related appointments or errands, maintaining a balance between personal and professional duties.
- Assist in personal shopping, event coordination, or any other tasks as needed.
Qualifications:
- Education:
A degree or diploma in business administration, secretarial studies, or a related field. - Experience:
3+ years of experience in a secretarial or administrative role, preferably supporting senior executives or directors. - Skills:
- Exceptional written and verbal communication skills.
- Strong organizational and time-management abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Ability to multitask and work efficiently in a fast-paced environment.
- Strong attention to detail and problem-solving skills.

- Discreet, trustworthy, and professional demeanor.
- Ability to work independently and as part of a team.
- Proactive and able to anticipate the needs of the MD.
