Job Overview
A Personal Secretary provides comprehensive administrative and organizational support to a senior executive, business owner, or high-level professional. This role involves managing schedules, coordinating meetings, handling correspondence, and performing personal and professional tasks as needed. The ideal candidate must be highly organized, discreet, and capable of handling confidential information.
This position may also require travel 2–3 days per month to support the principal during off-site meetings, business trips, or events.
Key Responsibilities
1. Administrative Support

Manage and organize the principal’s daily schedule, appointments, and meetings.

Handle incoming calls, emails, and correspondence, prioritizing urgent matters.

Prepare and maintain documents, reports, presentations, and spreadsheets as required.

Organize files, records, and other office documentation for easy retrieval and reference.

Draft letters, emails, and other communication on behalf of the principal.
2. Calendar & Meeting Management

Schedule and coordinate internal and external meetings, appointments, and events.

Prepare meeting agendas, minutes, and follow-up actions.

Ensure the principal is aware of upcoming deadlines, commitments, and priorities.

Coordinate with internal teams, clients, and external partners to ensure smooth meeting arrangements.
3. Travel & Logistics Coordination

Organize travel arrangements, including flights, accommodations, and transportation for the principal.

Accompany the principal for short trips 2–3 days per month, as required for business meetings, conferences, or events.

Ensure all travel-related documents, itineraries, and schedules are accurate and accessible.

Assist in travel expense management and reporting.
4. Office Management Support

Maintain office supplies, equipment, and administrative resources.

Assist with coordinating internal communication and workflow within the office.

Support team members and other staff with administrative or logistical tasks as needed.

Monitor and track important deadlines, deliverables, and follow-ups.
5. Confidentiality & Discretion

Handle sensitive and confidential information with utmost discretion and professionalism.

Ensure personal, financial, or business-related documents remain secure and private.

Manage relationships with discretion, representing the principal professionally and respectfully.
6. Correspondence & Communication

Communicate on behalf of the principal with clients, vendors, and colleagues.

Respond to queries promptly and escalate issues when necessary.

Draft, proofread, and edit communications to ensure accuracy and professionalism.

Maintain clear records of all correspondence and communications for reference.
7. Special Projects & Assistance

Assist in special projects, research, and reporting tasks as required.

Prepare briefing notes, presentations, and summaries to support decision-making.

Provide personal assistance for non-office tasks when appropriate, maintaining boundaries and professionalism.

Take initiative to identify efficiency improvements in administrative and scheduling processes.
Required Skills and Competencies
Technical Skills

Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and other office tools.

Basic knowledge of travel booking platforms and expense tracking software.
