Job Description
Position Overview
We are seeking a proactive, organized, and dynamic Personal Secretary (PS) to work closely with our Economist on various research, project coordination, and data management activities. The candidate will assist in planning, organizing, and managing project-related tasks, prepare documentation, handle communications, and ensure seamless collaboration between the Economist and other stakeholders.
The ideal candidate must be detail-oriented, adaptable, and open-minded, with excellent verbal and written communication skills. The role requires occasional travel to project locations and involves liaising with clients, government departments, researchers, and internal teams.
Key Responsibilities
1. Project Coordination & Support

Assist the Economist in planning, organizing, and monitoring ongoing projects.

Coordinate with internal teams, clients, government agencies, and external stakeholders.

Maintain project timelines, milestones, and deliverables to ensure deadlines are met.

Prepare detailed status reports and presentations for the Economist.

Schedule, organize, and manage meetings, workshops, and field visits.
2. Data Management & Research Assistance

Collect, compile, and analyze data from various sources related to economic research and project requirements.

Maintain databases, research files, and documentation for easy retrieval.

Assist in preparing economic reports, charts, and models under the Economist’s guidance.

Conduct secondary research to support decision-making and project strategies.

Ensure accuracy and confidentiality of sensitive data and information.
3. Administrative & Secretarial Support

Act as the primary point of contact between the Economist and other stakeholders.

Manage the Economist’s calendar, appointments, and travel itineraries.

Draft, review, and edit official correspondence, reports, and presentations.

Handle emails, calls, and meeting requests, ensuring timely responses.

Assist in preparing project proposals, agreements, and contracts when required.
4. Communication & Reporting

Liaise with clients, government bodies, and project partners for coordination.

Ensure smooth flow of information between all project stakeholders.

Prepare briefing notes, meeting minutes, and follow-up action plans.

Support the Economist in public speaking events, seminars, and conferences.

Draft press releases, reports, and other external communication materials, if required.
5. Travel Coordination & Field Support

Organize and coordinate travel plans, accommodation, and logistics for project visits.

Accompany the Economist during site inspections, stakeholder meetings, and field studies as needed.

Provide on-ground support for data collection, survey management, and research activities.

Ensure smooth coordination between on-site teams and project headquarters.
Required Skills & Competencies
1. Technical & Professional Skills

Strong understanding of project coordination, data management, and reporting.

Basic knowledge of economic concepts, research methodologies, and policy frameworks (preferred but not mandatory).

Proficiency in MS Office Suite (Word, Excel, PowerPoint) and data management tools.

Familiarity with project tracking software or ERP systems is an advantage.

Excellent verbal and written communication in English (additional regional languages are a plus).
