Job Description
The Purchase Assistant in the construction field is responsible for supporting the purchasing department in procuring materials, equipment, and services required for construction projects. This role involves assisting with vendor management, purchase orders, inventory control, and ensuring timely delivery of materials to meet project deadlines.
Key Responsibilities:Procurement Support:
- Assist in sourcing and selecting suppliers and vendors.
- Obtain quotes, negotiate prices, and prepare purchase orders.
- Coordinate with suppliers to ensure timely delivery of materials and equipment.
Inventory Management:
- Maintain accurate records of inventory levels and update them regularly.
- Monitor stock levels and initiate reorders to prevent shortages.
- Conduct regular inventory audits and reconcile discrepancies.
Documentation and Record-Keeping:
- Prepare and maintain purchasing records, reports, and price lists.
- Ensure all purchase documentation is complete, accurate, and filed correctly.
- Assist in preparing and submitting purchase-related reports to management.
Vendor Relations:
- Build and maintain positive relationships with suppliers and vendors.
- Address and resolve any issues or discrepancies with orders or deliveries.
- Evaluate supplier performance and provide feedback to improve service quality.
Compliance and Quality Assurance:
- Ensure all purchased materials and equipment meet quality standards and specifications.
- Comply with company policies and procedures, as well as industry regulations.
- Assist in conducting market research to stay updated on industry trends and pricing.
Coordination with Project Teams:
- Collaborate with project managers and site supervisors to understand material requirements.
- Communicate effectively with project teams to ensure timely and accurate delivery of materials.
- Assist in managing and tracking the budget for procurement activities.
- A degree in supply chain management, business administration, or a related field is preferred.
- Previous experience in purchasing or procurement, preferably in the construction industry.
- Strong organizational and time management skills.
- Excellent communication and negotiation skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and procurement software.
- Attention to detail and ability to handle multiple tasks simultaneously.
- Office environment with occasional visits to construction sites.
- Regular working hours, with the possibility of overtime during peak project periods.
- Interaction with suppliers, vendors, and internal project teams.
- Reports to the Purchasing Manager or Procurement Head.
