Job Description

A Purchase Coordinator plays a vital role in managing and streamlining the procurement process within an organization. This position ensures that the company acquires the right materials, products, and services at the best possible cost, while maintaining quality standards and adhering to timelines. Acting as a link between suppliers and internal departments, the Purchase Coordinator supports the smooth flow of operations, cost efficiency, and compliance with company policies.

The role is best suited for individuals who are detail-oriented, organized, and have strong communication skills. A Purchase Coordinator not only manages vendor relationships but also ensures accurate documentation and timely deliveries, contributing to the overall productivity of the business.

Focus Area: PO management, support documentation, transaction-level coordination
  • Issue and maintain purchase orders (POs)
  • Verify PO terms and match with supplier quotations
  • Track contract follow-ups and delivery schedules
  • Coordinate on payment queries and create debit notes
  • Liaise with accounts for invoice and payment reconciliation

Key Responsibilities

  1. Procurement Planning & Coordination

    • Assist in developing procurement plans in line with project or organizational needs.

    • Coordinate with internal departments to understand material or service requirements.

    • Maintain records of purchase requisitions and approvals.

  2. Vendor Management

    • Identify, evaluate, and build relationships with suppliers.

    • Request and compare quotations to ensure competitive pricing.

    • Negotiate terms, pricing, and delivery schedules with vendors.

    • Maintain an updated vendor database for quick sourcing.

  3. Purchase Order Management

    • Prepare and process purchase orders in accordance with company policies.

    • Verify purchase requests against budget availability and approvals.

    • Track orders to ensure timely delivery and escalate delays when necessary.

    • Maintain accurate records of orders and transactions.

  4. Inventory & Material Tracking

    • Work closely with the warehouse team to monitor stock levels.

    • Ensure replenishment of inventory to avoid shortages or overstocking.

    • Support periodic inventory audits and stock reconciliations.

  5. Documentation & Compliance

    • Maintain purchase records, agreements, and invoices systematically.

    • Ensure compliance with company procurement policies and statutory regulations.

    • Assist in preparing reports on purchases, costs, and savings for management review.

  6. Coordination with Finance

    • Submit vendor invoices for payment processing.

    • Resolve discrepancies between purchase orders, invoices, and deliveries.

    • Work with the accounts department to ensure timely payments.

  7. Cross-Departmental Collaboration

    • Coordinate with operations, production, and administration teams to align supply requirements.

    • Provide updates to management on procurement progress.

    • Support urgent purchase requirements during critical business operations.
