Job Description
Join Our Team at BE Electricals – Purchase Executive (Back Office | Data-Focused Role)
Key Responsibilities
1. Purchase Order (PO) Processing

Create, review, and issue purchase orders in the ERP or procurement system based on approved requisitions.

Ensure accuracy in quantity, price, item codes, delivery dates, and vendor details.

Coordinate with internal departments (store, accounts, production) for PO approvals and order finalization.
2. Vendor and Price Management
-
Maintain an updated database of approved suppliers, price lists, contracts, and delivery timelines.

Record and update supplier contact information, payment terms, and certifications in the system.

Assist in evaluating vendor performance based on quality, pricing, and delivery schedules.
3. Data Entry and Record Maintenance
-
Accurately input all procurement transactions into the system including purchase orders, GRNs (Goods Receipt Notes), and invoices.

Maintain digital and physical files of all procurement-related documents for compliance and audits.

Prepare and manage reports such as PO status, pending deliveries, order history, and cost analysis.
4. Coordination and Communication

Communicate with vendors via email or phone regarding order confirmations, delivery follow-ups, and document requests.

Work closely with the logistics, stores, and accounts teams for seamless inward processing and payment tracking.

Resolve discrepancies between PO, delivery notes, and invoices through coordination with concerned stakeholders.
5. Inventory and Stock Monitoring

Support the inventory team by sharing procurement timelines and tracking stock availability.

Alert the team about stock shortages, procurement delays, or abnormal price fluctuations.

Help forecast purchasing needs by analyzing past consumption data and order frequency.
6. Compliance and Documentation

Ensure all procurement practices adhere to internal procurement policies and audit requirements.

Assist in maintaining compliance documentation such as GST invoices, supplier registration forms, and quality certificates.

Support audit teams during internal or external reviews by providing required data and documents.
7. Reporting and Analysis

Generate regular reports for management on procurement costs, vendor efficiency, and PO status.

Use Excel or ERP tools to analyze purchasing trends, price variations, and consumption patterns.

Provide actionable insights to reduce costs, streamline processes, or improve supplier selection.
