Job Description
- Manage Vendor relations.
- Maintain the Vendor records & Related documents.
- Manage inventory control to determine needs.
- Working Knowledge in ERP.
- Ensuring quality & specifications of procurement materials.
- Coordinate with Stores for Stock Inventory.
- Track orders & Ensure timely delivery.
- Awareness of ISO & Quality Management System.
- Candidates with 2 to 4 years Experience in Manufacturing Industries will be Preferred.
- Salary as per industry standard.
Key Responsibilities:
1. Vendor and Supplier Management:

Identify and evaluate potential suppliers based on price, quality, delivery time, and service.

Develop and maintain relationships with reliable vendors to ensure consistent supply.

Collect quotations, compare pricing and terms, and negotiate deals for better value.

Regularly monitor supplier performance and resolve any issues related to quality, delays, or pricing.
2. Purchase Order Management:
-
Process purchase requisitions from various departments and convert them into purchase orders.

Create accurate and detailed purchase orders (POs) in the ERP or procurement system.

Ensure proper approvals and documentation are in place before issuing purchase orders.

Track orders and ensure timely delivery of materials according to schedule.
3. Procurement Strategy and Cost Control:

Ensure purchases are made within approved budgets and policies.

Source alternative suppliers or materials to reduce cost and improve efficiency.

Assist in forecasting demand and planning inventory purchases accordingly.

Monitor market trends and material availability to take proactive procurement decisions.
4. Inventory Coordination:

Coordinate with storekeepers or warehouse staff to monitor stock levels and avoid overstocking or stockouts.

Ensure all goods received are as per purchase order specifications and resolve any discrepancies.

Arrange for return or replacement of damaged or defective goods with suppliers.
5. Documentation and Reporting:

Maintain accurate records of purchases, supplier contracts, delivery notes, invoices, and payment status.

Generate regular reports on purchases, vendor performance, price trends, and inventory status.

Support internal and external audits by providing necessary documentation.
6. Compliance and Risk Management:

Ensure all procurement activities are carried out in compliance with company policies and applicable regulations.

Evaluate risks in supply contracts and ensure all terms and conditions are clearly documented.

Stay updated with procurement best practices and changes in regulatory requirements.
7. Interdepartmental Coordination:

Work closely with departments such as production, finance, administration, and operations to understand their purchase needs.

Ensure timely communication regarding order status, delivery schedules, and material availability.
