Skills Required:

Key Responsibilities
Reception Duties
-
Greet and welcome visitors, clients, and guests in a friendly, professional, and courteous manner.

Manage the front desk area to ensure cleanliness and a professional appearance.

Answer, screen, and direct incoming phone calls and emails promptly and appropriately.

Maintain visitor logs and issue visitor badges or passes in line with security protocols.

Inform employees of visitor arrivals and ensure they are guided to appropriate meeting rooms.
Administrative Support
-
Provide general administrative and clerical support to various departments.
-
Prepare, format, and edit documents such as memos, reports, and spreadsheets.

Maintain electronic and paper filing systems to ensure accurate record-keeping.

Handle data entry tasks and update internal databases and contact lists.

Receive, sort, and distribute incoming mail and deliveries; coordinate outgoing mail and courier services.
Office Coordination
-
Monitor and order office supplies, keeping inventory and coordinating with vendors.

Assist in scheduling appointments, meetings, and conference room bookings.

Help organize internal meetings and prepare necessary documents or refreshments.

Support with the onboarding of new staff (desk setup, access cards, welcome packs, etc.).

Assist in the coordination of office maintenance or facility issues with building management.
Customer Service

Act as the first point of contact for inquiries in person, by phone, or via email.

Resolve basic customer service or administrative inquiries with professionalism.

Ensure clients and colleagues receive timely, accurate, and helpful information.

Escalate complex queries or complaints to the appropriate department or supervisor.
