A Receptionist and Assistant - Back Office plays a vital role in managing the front desk operations as well as providing administrative and clerical support in the back office. This dual-role position requires good communication skills, a friendly personality, and the ability to multitask efficiently. The individual serves as the first point of contact for visitors and clients while also supporting daily office operations, data entry, documentation, and coordination behind the scenes.

This position is essential in creating a professional image of the company and ensuring smooth internal processes across departments.

Key Responsibilities

1. Reception & Front Desk Duties

  • Greet and welcome visitors in a polite, warm, and professional manner.

  • Answer incoming phone calls and direct them to the appropriate department or person.

  • Handle inquiries from customers, clients, or vendors – both in person and over the phone.

  • Maintain visitor logs, issue visitor badges or passes, and follow security protocols.

  • Ensure the reception area is neat, clean, and presentable at all times.

  • Schedule appointments and manage meeting room bookings if required.

2. Administrative Support

  • Assist in day-to-day clerical and administrative tasks.

  • Prepare and organize documents, reports, and spreadsheets.

  • Maintain and update office records, files, and databases (both physical and digital).

  • Photocopy, scan, and print documents as needed.

  • Manage incoming and outgoing mail or couriers.

3. Back Office Coordination

  • Support the operations, sales, HR, or accounts team with data entry and report preparation.

  • Maintain inventory of office supplies and place orders when required.

  • Assist in organizing office events, meetings, or internal communication.

  • Perform bank-related tasks such as cheque deposits or document submissions if needed.

  • Coordinate with vendors, service providers, and logistics personnel.

4. Support to Management

  • Help in preparing presentations, emails, and official letters for managers or department heads.

  • Follow up with external clients, vendors, or internal departments on assigned tasks.

  • Maintain confidentiality of sensitive company and employee information.

Required Skills and Qualifications

  • Education: Graduation in any stream.

  • Experience: Freshers can apply.

  • Computer Skills:

    • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)

    • Ability to work with basic office software and internet tools.

  • Communication Skills:

    • Good spoken and written communication in English and the local language.

    • Polite and clear telephone etiquette.

  • Organization Skills:

    • Ability to multitask, manage time, and stay organized.

    • Attention to detail in documentation and record-keeping.

  • Professionalism:
