Job Description
Greet and welcome visitors in a professional and friendly manner.
Answer, screen, and forward incoming phone calls.
Manage the reception area to ensure it is tidy, presentable, and well-stocked.
Handle inquiries from clients, vendors, and staff promptly and courteously.
Key Responsibilities
1. Front Desk & Visitor Management

Welcome guests, clients, and visitors warmly with a professional and courteous attitude.

Answer, screen, and forward incoming calls to the appropriate departments or individuals.

Maintain a visitor logbook and issue visitor passes when required.

Provide accurate information about the company’s services, facilities, and policies.
2. Administrative Support
-
Handle incoming and outgoing mails, courier services, and parcels.

Assist in scheduling meetings, appointments, and conference room bookings.

Prepare and maintain records, files, and other front office documents.

Support management with basic clerical duties like data entry, photocopying, and scanning.
3. Customer Service

Address visitor inquiries and resolve basic concerns efficiently.

Maintain a professional and friendly demeanor while interacting with clients.

Coordinate with internal teams to ensure smooth handling of customer requests.
4. Office Coordination
-
Assist HR and Admin teams in organizing events, interviews, and onboarding sessions.

Monitor office supplies and place orders when required.

Ensure the front office and reception area are clean, organized, and presentable at all times.
5. Security & Compliance

Monitor entry and exit of visitors to ensure workplace safety.

Ensure confidentiality of sensitive information and maintain company policies.

Liaise with the admin or security department for any compliance-related tasks.
Required Skills & Competencies

Communication Skills: Excellent verbal and written communication in English and local language.

Customer Service: Friendly, approachable, and patient while dealing with visitors and clients.
