Job Summary
We are looking for a well-presented, polite, and organized Receptionist Front Desk to be the face and first point of contact for our organization. The ideal candidate will greet visitors, manage front office activities, answer incoming calls, and support administrative functions. As the primary link between clients, visitors, and staff, the Receptionist plays a critical role in creating a positive first impression.
The role requires excellent communication, multitasking ability, and a warm, customer-friendly attitude. You must be dependable, punctual, and capable of managing daily front desk operations with a high level of professionalism.
Key Responsibilities
1. Visitor Management

Greet and welcome guests, clients, and vendors in a friendly and professional manner.

Maintain a visitor logbook or digital record by collecting names, contact details, and the purpose of the visit.

Issue visitor badges and inform relevant staff about guest arrivals.

Direct visitors to appropriate departments or waiting areas.
2. Call Handling

Answer, screen, and forward incoming phone calls using a multi-line phone system.

Provide basic information to callers regarding office hours, services, or directions.

Take accurate messages and ensure timely delivery to relevant departments.

Handle outgoing calls, follow-up calls, or scheduling appointments as required.
3. Front Desk Operations

Keep the front desk area clean, organized, and presentable at all times.

Manage incoming and outgoing mail, packages, and courier services.

Maintain an inventory of front office supplies and reorder when necessary.

Handle booking of meeting rooms and ensure they are properly set up for visitors or internal use.
4. Administrative Support

Perform basic administrative tasks such as data entry, filing, photocopying, and scanning.

Assist HR, Admin, or other departments in managing documents, onboarding paperwork, or attendance records.

Schedule appointments, meetings, or interviews in coordination with relevant team members.

Support event coordination or employee engagement activities when needed.
5. Record Keeping & Security

Maintain accurate records of staff attendance (if required) or access logs.

Enforce office security protocols, ensuring only authorized individuals enter restricted areas.

Coordinate with security personnel when necessary for guest clearance or emergency support.

Maintain confidentiality in handling sensitive documents or visitor details.
