Job Description

  • We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.

  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
  • Answering screening and forwarding incoming phone calls
  • Receiving and sorting daily mail.

Key Responsibilities:

1. Front Desk Operations

  • Greet and welcome guests, visitors, and clients warmly as they arrive.

  • Ensure the reception area is tidy, organized, and presentable at all times.

  • Offer refreshments to visitors when applicable.

2. Phone & Email Management

  • Answer, screen, and forward incoming phone calls in a professional manner.

  • Respond to emails or direct them to the concerned departments.

  • Maintain records of all incoming and outgoing communication when required.

3. Appointment Scheduling & Calendar Management

  • Schedule and confirm appointments, meetings, or interviews.

  • Coordinate with staff and clients to avoid scheduling conflicts.

  • Maintain a logbook or software for appointments and walk-ins.

4. Record Keeping & Data Entry

  • Maintain visitor logs, appointment books, or digital records.

  • Assist in maintaining office files, employee records, and documents.

  • Perform basic data entry tasks and ensure accuracy in logs and spreadsheets.

5. Administrative Support

  • Assist other departments with photocopying, scanning, printing, and mailing tasks.

  • Receive and distribute packages, documents, and office supplies.

  • Keep an inventory of front-office supplies and request restocking when necessary.

6. Coordination & Communication

  • Liaise with internal departments for meetings, notices, or office coordination.

  • Notify employees of visitor arrivals or external meetings.

  • Provide accurate information to clients or direct them to the appropriate contact person.
