Job Description

Job Purpose

The Receptionist Front Desk is the first point of contact for visitors, clients, and callers. This role is vital to creating a welcoming, professional, and organized front-office environment. The receptionist handles a range of administrative and clerical tasks, including greeting guests, answering and redirecting phone calls, maintaining visitor logs, scheduling appointments, and supporting the smooth day-to-day operation of the office.

The ideal candidate will have a friendly and approachable demeanor, excellent communication skills, and the ability to multitask in a fast-paced environment.

Key Responsibilities

1. Visitor and Guest Management

  • Greet and welcome visitors in a warm and courteous manner upon arrival.

  • Ensure all visitors sign in/out and are issued visitor badges as required.

  • Notify relevant staff of guest arrivals promptly.

  • Provide basic information to guests and direct them appropriately within the facility.

  • Maintain a clean, organized, and professional front desk and waiting area.

2. Telephone and Communication Handling

  • Answer incoming phone calls promptly and professionally.

  • Route calls to appropriate departments or personnel.

  • Take accurate messages when required and ensure timely delivery.

  • Screen and filter calls in accordance with office protocols.

  • Monitor voicemail and respond to messages efficiently.

3. Appointment Scheduling and Calendar Coordination

  • Schedule and confirm appointments for staff, clients, or visitors.

  • Maintain and update appointment logs, calendars, or booking systems.

  • Coordinate meeting room bookings, ensuring availability and readiness.

4. Front Desk Administration

  • Maintain accurate records of visitors, deliveries, and appointments.

  • Receive and distribute mail, packages, and deliveries.

  • Handle outgoing correspondence or shipments when needed.

  • Assist with filing, photocopying, faxing, scanning, and other clerical tasks.

  • Monitor and order front desk supplies, ensuring stock levels are maintained.

5. Customer Service and Support

  • Provide general information to callers and visitors regarding services, office hours, and procedures.

  • Assist with inquiries or direct individuals to the appropriate departments for resolution.

  • Handle complaints or concerns with professionalism, escalating when necessary.

6. Safety and Security Protocols

  • Monitor entry and exit of all visitors for safety and compliance with organizational policies.

  • Assist in emergency procedures by keeping visitor records accessible and following evacuation protocols.

  • Ensure that all front desk equipment and access points are secure when unattended.

Skills and Qualifications

Essential Skills

  • Excellent verbal and written communication.

  • Polished and professional appearance and demeanor.

  • Ability to handle multiple tasks simultaneously with accuracy and composure.

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with office equipment (phones, printers, scanners).

Desirable Skills
