Job Summary:
A Receptionist Front Desk serves as the first point of contact for visitors, clients, and employees entering the office or organization. This role is responsible for managing front-desk operations such as welcoming guests, answering phone calls, scheduling appointments, maintaining records, and handling general administrative support duties.
The receptionist plays a key role in representing the company professionally and ensuring that daily front-office functions run smoothly. This position requires excellent communication skills, a friendly demeanor, organizational ability, and a proactive approach to problem-solving.
Key Responsibilities:
1. Front Desk Management:

Greet and welcome visitors warmly as they arrive at the office.

Direct visitors to the appropriate person or department and inform employees of guest arrivals.

Maintain a clean, organized, and presentable reception area at all times.
2. Phone and Communication Handling:

Answer incoming phone calls promptly, professionally, and courteously.

Screen and forward calls to the correct departments or individuals.

Take accurate messages when necessary and ensure timely delivery.
3. Visitor and Appointment Management:

Maintain a visitor logbook and issue visitor passes when applicable.

Schedule and manage appointments for clients, vendors, or internal meetings.

Coordinate with meeting room bookings and assist in preparation when required.
4. Administrative Support:

Handle general clerical duties such as photocopying, scanning, data entry, filing, and mailing.

Receive, sort, and distribute mail, packages, and deliveries.

Manage office supplies at the front desk and request replenishments as needed.
5. Internal Coordination:

Liaise with administrative, HR, and operations teams to assist in tasks like onboarding guests, coordinating events, or updating contact lists.

Support basic travel arrangements, courier dispatch, or scheduling vendor visits.

Assist other departments with administrative tasks on request.
6. Security and Compliance:

Follow security protocols for visitor access and office entry/exit procedures.

Monitor and report suspicious activity or policy violations at the entrance area.

Ensure confidentiality of sensitive information and documents.
