Job Description

Position Overview:

A Receptionist Front Desk is responsible for managing the front desk, handling administrative tasks, and ensuring a welcoming experience for visitors and clients. This role requires excellent communication skills, professionalism, and the ability to multitask efficiently.

1.Serves visitors by greeting, welcoming, and directing them appropriately. 
2.Notifies company personnel of visitor arrival.  
3.Maintains security and telecommunications system.  
4. Informs visitors by answering or referring inquiries.
5.Directs visitors by maintaining employee and department directories.                                  
6.Maintains security by following procedures, monitoring logbook, and issuing visitor badges. 
7.Operates telecommunication system by following manufacturer’s instructions for house phone and console operation.                                                                     
8. Keeps a safe and clean reception area by complying with procedures, rules, and regulations.                     
9.Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs

Key Responsibilities:

1. Front Desk Management:

  • Greet and assist visitors, clients, and employees in a courteous manner.
  • Manage incoming calls, direct them to the appropriate person, and take messages when necessary.
  • Maintain a clean, organized, and professional reception area.

2. Administrative Support:

  • Schedule appointments, meetings, and maintain calendars for executives.
  • Handle incoming and outgoing mail, emails, and courier services.
  • Maintain records, files, and office supplies inventory.

3. Visitor & Guest Management:

  • Register and maintain a log of visitors and provide necessary assistance.
  • Issue visitor passes and coordinate security clearances when required.

4. Coordination & Communication:

  • Assist different departments by relaying messages and coordinating schedules.
  • Handle basic inquiries about the company’s services or products.
  • Support HR and Admin teams with event planning and office management tasks.

5. Office Operations & Customer Service:

  • Ensure smooth operation of office equipment like printers, telephones, and computers.
  • Address customer and employee concerns with a problem-solving approach.
  • Uphold confidentiality and professionalism in handling sensitive information.
