Job Description

Need good communication skill and computer skill  based applicant to manage guest house hospitality and online services. Candidate must have  the computer basic knowledge  and maintain booking records (online and offline ). 

Key Responsibilities:

1. Guest Check-in and Check-out:

  • Greet guests warmly upon arrival, ensuring they feel welcomed and comfortable.

  • Check guests in and out efficiently and accurately, verifying reservation details and processing payments.

  • Assign rooms to guests, ensuring that the assigned rooms meet their preferences and special requests.

  • Provide guests with necessary information about the guest house facilities, amenities, check-out times, and any available services (e.g., breakfast, laundry).

2. Online Reservations and Communication:

  • Manage online reservations through the guest house’s website, third-party booking platforms (e.g., Booking.com, Airbnb), and email inquiries.

  • Respond promptly to online inquiries and reservation requests, providing information about availability, room rates, and policies.

  • Ensure that all online bookings are entered into the system accurately, confirming reservations and sending out pre-arrival emails with booking details, check-in instructions, and relevant information.

  • Maintain up-to-date availability calendars and manage room allocations based on online reservations and walk-in guests.

3. Guest Services and Requests:

  • Assist guests with special requests, such as arranging transportation, booking tours or activities, and recommending local attractions.

  • Handle guest concerns, complaints, and issues professionally and courteously, escalating complex matters to management as needed.

  • Provide information about local area attractions, dining options, and services, offering personalized recommendations based on guest preferences.

4. Administrative Duties:

  • Answer and direct phone calls to appropriate departments or staff members, ensuring a polite and efficient communication flow.

  • Maintain guest records in the property management system (PMS), ensuring that all information is up-to-date and accurate.

  • Process payments for guest services, including cash, credit card, and online payments.

  • Monitor inventory of guest supplies (e.g., toiletries, linens) and request restocking as necessary.

  • Assist in reporting any maintenance issues in guest rooms or public areas, ensuring timely resolution to maintain a comfortable guest experience.

5. Billing and Payment Processing:

  • Prepare guest invoices upon check-out, ensuring accuracy in charges for room rates, services, and incidental fees.

  • Process payments using the property management system (PMS) and provide receipts.

  • Assist guests with any billing inquiries, offering clarity and resolving discrepancies in a timely manner.

6. Maintaining the Front Desk Area:

  • Ensure that the front desk area is clean, organized, and well-stocked with brochures, maps, and other relevant guest materials.

  • Maintain a professional and welcoming atmosphere in the lobby area, creating a positive first impression for guests.

  • Monitor the lobby to ensure guests have the necessary support during their stay, including offering assistance with luggage or general inquiries.

7. Health and Safety Compliance:

  • Follow and enforce health and safety protocols for the guest house, ensuring guest safety and comfort at all times.

  • Ensure compliance with COVID-19 or other public health guidelines (if applicable), including sanitation practices and social distancing where necessary.

8. Collaboration and Teamwork:

  • Work closely with housekeeping and other departments to ensure that room availability, cleanliness, and guest needs are met.

  • Communicate regularly with management to ensure smooth operations and the continuous improvement of guest services.

  • Help train new staff or assist other team members with their duties when needed.
