Key Responsibilities
1. Visitor and Client Reception

Greet visitors warmly upon arrival and direct them to the appropriate departments or personnel.

Notify staff members of guest arrivals and manage visitor sign-in/out procedures.

Maintain a tidy and welcoming reception area at all times, ensuring it reflects the company’s standards of professionalism.

Provide visitors with information, brochures, or forms when needed.
2. Telephone and Communication Management
-
Answer, screen, and forward incoming phone calls in a courteous and professional manner.

Take accurate messages and ensure timely delivery to the appropriate recipients.

Manage general email inboxes and route messages or inquiries to the appropriate team members.
3. Front Office Administration
-
Handle incoming and outgoing mail, deliveries, and packages.

Schedule appointments, meeting rooms, and conference calls when required.

Maintain updated staff contact lists, internal directories, and emergency contact details.

Maintain records of visitors and ensure adherence to building access procedures.
4. Support to Other Departments
-
Assist various departments with administrative support such as document preparation, data entry, or printing tasks.

Help coordinate internal events, meetings, or appointments with vendors and service providers.

Maintain supplies inventory for the front desk and ensure ordering and stocking of essential items like forms, stationery, and beverages for guests.
5. Office Equipment and Facilities

Operate and maintain office equipment including phone systems, copiers, fax machines, and printers.

Report maintenance issues or requests to the facilities team or supervisor promptly.

Coordinate service or repair for front desk equipment as needed.
Technical Skills
-
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

Familiarity with office phone systems, printers, and email platforms.

Experience with scheduling software, visitor management systems, or CRM tools is a plus.
Soft Skills

Excellent verbal and written communication.
