Position Summary
The Lobby Receptionist will be deputed at the client location (MBRDI) and is responsible for front
desk management, visitor handling, call coordination, and security-related protocols. The role
demands professionalism, presence of mind, and courteous behavior while managing multiple
administrative and security-related tasks.
Key Responsibilities
Visitor & Lobby Management
• Welcome and guide all visitors professionally, ensuring the lobby is always organized and not
overcrowded.
• Issue visitor badges only after receiving approval from respective managers through the Visitor
Management System (VMS).
• Proactively assist waiting visitors and ensure they are attended to.
• Comply with mobile/camera restrictions; escalate for E4-level approvals if required.
• Coordinate swift approvals for photography/videography requests.
• Manage and operate all 3 reception desk terminals effectively.
Call Handling
• Attend all incoming calls within 3 rings with a calm, composed, and professional tone.
• Do not transfer internal calls within EC building or share employee details over phone under any
circumstances.
Emergency & Incident Response
• Follow site-specific SOPs for emergencies such as bomb threats, medical cases, and fire alarms.
• Use the provided checklist to gather details during bomb threat calls and inform the Security
Command Centre and CS Manager immediately.
• Support 24x7 emergency readiness, including ambulance coordination and site-wide alerts.
Access & Compliance Support
• Manage issuance of temporary badges for externals, consultants, and lost badge holders.
• Monitor and report any unruly visitor, unidentified objects, or unauthorized access attempts.
• Coordinate with security teams, police, and media in high-stress situations without panic.
• Enforce site policies around visitor behavior, device restrictions, and swift escalation procedures.
Reporting & Documentation
• Maintain accurate logs including: Ambulance Register, Lost & Found, Temp ID, Consultant
Joiners, Daimler Visitors, and Newspapers.
• Submit comprehensive End-of-Day (EOD) reports capturing daily operations and incident
summaries.
Candidate Profile
• Education: Minimum Pre-University College (PUC) or equivalent (mandatory).
• Computer Skills: Proficiency in MS Office (Word, Excel, Outlook); strong typing and
documentation abilities.
• Languages: Proficiency in English; Kannada and Hindi preferred.
• Behavioral: Professional, calm, courteous, team-oriented, and self-motivated.
• Communication: Strong phone etiquette and quick response to emails.
• Ability to follow written, oral, and diagrammatic instructions precisely.
• Prior experience in a front office or reception role is preferred.
