Job Summary:

The receptionist serves as the first point of contact for visitors, residents, and staff, providing exceptional customer service in a warm and professional manner. This role includes managing the front desk, answering inquiries, scheduling appointments, and supporting administrative functions to ensure smooth facility operations.

Key Responsibilities:

1. Front Desk Management

  • Greet visitors, residents, and staff with courtesy and professionalism.
  • Answer incoming phone calls, direct them to the appropriate department, and take messages as necessary.
  • Manage check-ins for visitors, ensuring adherence to facility policies and protocols.

2. Administrative Support

  • Maintain and update records, including resident directories, appointment logs, and visitor logs.
  • Assist with scheduling appointments for residents and staff, such as medical visits or facility meetings.
  • Handle correspondence, including emails, mail distribution, and notices.

3. Communication and Coordination

  • Act as a liaison between residents, families, and staff by relaying messages and information promptly.
  • Provide basic information about the facility, services offered, and visiting policies to callers and guests.
  • Respond to inquiries and escalate complex or sensitive issues to the appropriate staff member.

4. Facility Safety and Security

  • Monitor and maintain security protocols by ensuring visitors sign in and follow the facility’s guidelines.
  • Report any suspicious activity or safety concerns to the appropriate personnel.

5. Supplies and Organization

  • Maintain a tidy and organized reception area to create a welcoming environment.

Required Skills and Qualifications:

1. Education & Experience

  • High school diploma or equivalent; additional certification in administration or customer service is a plus.
  • Previous experience as a receptionist, front desk officer, or in a similar customer-facing role preferred.

2. Key Skills

  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and other basic office software.
  • Empathy and patience when interacting with elderly residents and their families.

3. Personal Attributes

  • Friendly, approachable, and professional demeanour.
  • Ability to handle sensitive information with discretion and confidentiality.
