Job Summary:
We are seeking a professional, friendly, and organized Receptionist to serve as the first point of contact at our busy real estate office. The ideal candidate will possess excellent communication and customer service skills, a keen eye for detail, and the ability to manage a variety of administrative tasks with efficiency and professionalism. As the face of the office, the receptionist plays a vital role in creating a welcoming environment for clients, agents, and vendors while supporting the daily operations of the brokerage.
Key Responsibilities:
Front Desk Management:

Greet clients, visitors, real estate agents, and staff members with a professional and friendly demeanor.

Answer and direct phone calls promptly and efficiently using a multi-line phone system.

Maintain a tidy and organized reception area to reflect a professional and inviting atmosphere.

Handle incoming and outgoing mail, deliveries, and packages.
Client Interaction and Support:

Serve as the first point of contact for potential buyers, sellers, tenants, and landlords.

Schedule appointments for real estate agents, including property showings and client meetings.

Provide basic information to walk-in clients regarding property listings, office services, or contact information.

Maintain a log of visitor and client traffic to monitor office activity.
Administrative Duties:

Perform general office duties such as filing, data entry, photocopying, scanning, and faxing.

Prepare and maintain physical and electronic files related to real estate transactions.

Update and maintain office calendars, meeting schedules, and agent appointments.

Input property listings into MLS systems and update online databases as needed.

Assist with marketing tasks such as printing brochures, flyers, open house sheets, and listing packets.

Help organize and maintain office supplies, replenishing stock as needed.
Agent Support:

Provide administrative assistance to real estate agents and brokers, including document preparation and compliance support.

Coordinate communication between agents and clients as directed.

Assist with onboarding new agents, including setting up workstations and explaining office procedures.

Maintain up-to-date knowledge of property listings and company services to provide informed responses to inquiries.
Technology & Systems Management:

Use office software such as Microsoft Office (Word, Excel, Outlook), Google Workspace, and any CRM or real estate software tools used by the company (e.g., Dotloop, DocuSign, MLS platforms).

Monitor and manage office email accounts, ensuring timely responses to inquiries.

Update website listings, social media pages, and internal databases, in coordination with the marketing team.
