Job Description
Position Overview:
A receptionist serves as the first point of contact for a company, organization, or office. They are responsible for providing a welcoming and professional experience to clients, customers, vendors, and visitors. Receptionists also handle a variety of administrative support tasks, which may vary depending on the size and structure of the organization.
This role requires excellent communication skills, a friendly and approachable demeanor, and the ability to manage multiple tasks efficiently. The receptionist plays a crucial role in setting the tone of the office environment and supporting the overall operations of the business.
Key Responsibilities:
1. Front Desk Operations

Greet and welcome guests, clients, and employees with a professional, courteous, and friendly attitude.

Answer incoming phone calls promptly, screen and direct calls to appropriate personnel or departments.

Take accurate messages and ensure timely delivery to the intended recipients.

Manage and maintain the appearance of the reception area, ensuring it is clean, organized, and inviting at all times.
2. Visitor Management

Register and document all visitors entering the premises according to company policy.

Issue visitor badges and inform employees of guest arrivals.

Ensure all security and safety procedures are followed during visitor check-in and check-out.

Assist with scheduling appointments and meetings, including booking meeting rooms and preparing materials as required.
3. Administrative Support

Provide general administrative and clerical support to other departments as needed.

Handle incoming and outgoing mail and packages, including sorting, distributing, and shipping.

Maintain records, files, and databases, both physical and digital.

Perform data entry, document formatting, photocopying, scanning, and filing.

Prepare and maintain office supplies inventory; place orders as needed to ensure stock is maintained.

Support event coordination, travel arrangements, and other logistical needs of the organization.
4. Communication and Customer Service

Provide accurate information regarding services, schedules, staff availability, and organizational procedures to visitors and callers.

Manage inquiries from the public, clients, and vendors in person, over the phone, and via email.

Address complaints or concerns professionally and escalate to the appropriate party when necessary.

Maintain confidentiality of sensitive information at all times.
5. Technology and Systems Use

Use telephone systems, email, office management software, and booking platforms.

Operate standard office equipment such as computers, printers, fax machines, and copiers.

Update calendars, directories, and internal contact lists regularly.
