Job Description

We are seeking a friendly and professional Receptionist to be the first point of contact for our organization. The ideal candidate will handle front desk responsibilities, manage incoming calls, and assist with administrative tasks. As a receptionist, you will play a key role in creating a welcoming and organized environment for visitors, clients, and employees.

To manage the front desk and  enhance the overall visitor experience within the office building.
Scope of work: Handling of visitor greetings, telephone and email inquiries, appointment schedule mail/package distribution, and lobby maintenance. The receptionists also play a role in emergent response, provide excellent customer service, disseminate information, and exhibit adaptability multitasking. Services are provided during regular office hours, maintaining a professional appearance and flexibility for special events. Their duties contribute to a welcoming, organized efficient front desk, positively impacting the overall functioning of the office building.

Key Responsibilities:

1. Front Desk Management:

  • Greet and welcome visitors with a warm and professional attitude.
  • Answer, screen, and forward incoming calls efficiently.
  • Provide accurate information to clients and guests.

2. Administrative Support:

  • Manage incoming and outgoing mail, couriers, and deliveries.
  • Maintain and update visitor logs and records.
  • Assist with scheduling appointments and meetings.

3. Office Coordination:

  • Ensure the reception area is clean, organized, and presentable.
  • Order and manage office supplies as needed.
  • Coordinate with different departments for smooth office operations.

4. Customer Service & Communication:

  • Handle inquiries and direct them to the appropriate department.
  • Address customer concerns with professionalism and patience.
  • Provide administrative support to HR, Admin, and other teams.

Required Skills & Qualifications:

  • Strong verbal and written communication skills.
  • Professional appearance and a positive attitude.
  • Ability to multitask and handle pressure efficiently.
  • Basic computer skills (MS Office, email handling, and scheduling tools).
  • Excellent organizational and time management abilities.
  • Prior experience in customer service or receptionist role (preferred).
