Job Description
Introduction
We are looking for a Receptionist to manage the front desk operations of our clinic and ensure smooth coordination between patients, doctors, and clinic staff. The ideal candidate should be friendly, organized, and efficient, with excellent communication skills and a customer-oriented approach.
This role involves managing appointments, coordinating with doctors, handling payments, and ensuring an excellent patient experience from start to finish.
Key Responsibilities
1. Appointment Scheduling & Coordination

Maintain the appointment register and update schedules accurately.

Confirm patient appointments through calls, SMS, or WhatsApp messages.
-
Follow up with patients if appointments are not confirmed via message.

Coordinate with doctors to manage daily schedules and patient flow.

Adjust appointments in case of delays, cancellations, or emergencies.
2. Front Desk Management
-
Open and prepare the clinic before working hours and ensure readiness for patient visits.

Greet patients politely and provide assistance with check-ins.

Guide patients regarding consultation timings, clinic policies, and procedures.

Maintain a professional and welcoming front office environment.
3. Payment Handling & Billing
-
Collect consultation fees, treatment charges, and other payments.

Issue bills and receipts accurately and ensure proper record-keeping.

Reconcile daily collections and submit reports to the accounts team.
4. Coordination with Evening Receptionist
-
Handover appointment schedules, pending payments, and updates to the evening receptionist.
-
Ensure smooth transition between morning and evening shifts for uninterrupted operations.
5. Communication & Patient Follow-Ups
-
Contact patients for appointment confirmations and reminders.

Provide information regarding doctors’ availability, services, and clinic timings.

Assist in rescheduling appointments if required and ensure patient satisfaction.
6. Administrative & Support Duties

Maintain patient records, case sheets, and reports.
-
Handle phone calls, emails, and other inquiries promptly.

Support clinic staff and doctors with administrative tasks as needed.
Required Skills & Competencies
Technical Skills
-
Basic knowledge of MS Office (Word, Excel).

Familiarity with clinic management software or appointment scheduling tools (preferred).

Ability to handle POS machines and online payment systems.
Soft Skills
-
Excellent Communication Skills – verbal and written in English, Hindi, and/or local language.

Customer Service Orientation – create a welcoming experience for patients.

Organizational Skills – manage appointments, payments, and follow-ups efficiently.

Problem-Solving Ability – handle scheduling conflicts and patient concerns effectively.

Teamwork & Coordination – work closely with doctors, nurses, and other reception staff.
Educational Qualifications

Required: Minimum 12th Pass / Diploma in any discipline.

Preferred: Graduate in Hospitality, Healthcare Administration, or Commerce.
