Job Description
Key Responsibilities:
1. Front Desk Management:

Greeting Visitors & Patients: Welcome patients and visitors warmly, offering assistance and ensuring a positive experience.

Handling Inquiries: Answer phone calls, respond to emails, and address general inquiries regarding clinic services, appointments, and other administrative matters.

Appointment Scheduling: Manage the clinic's appointment calendar, schedule, and confirm appointments for patients, and ensure there is no overlap or confusion in bookings.

Patient Check-In & Check-Out: Register patients, verify their personal information, and ensure all necessary documentation is completed accurately.

Patient Flow: Ensure the smooth flow of patients into their appointments and maintain waiting times to a minimum.
2. Administrative Support:

Data Entry & Record Keeping: Maintain accurate patient records in the clinic’s system (electronic or paper). Ensure all information is up to date and properly filed.

Managing Patient Forms: Assist patients in filling out forms, processing insurance details, and ensuring all necessary paperwork is completed.

Billing & Payments: Handle patient billing inquiries, collect payments, and provide receipts for services rendered.

Document Preparation: Prepare, file, and manage office documents, such as medical forms, patient history, and billing statements.

Inventory Management: Track and manage office supplies, ensuring that the reception area is fully stocked with necessary materials.
3. Computer and Software Usage:

Clinic Management Software: Utilize clinic management software to manage patient appointments, medical records, billing, and other administrative tasks.

Email & Correspondence: Manage email communications, send appointment reminders, and follow up with patients on medical instructions or reports.

Data Management: Ensure that patient and clinic data is accurately entered into digital systems and is kept confidential and secure.
4. Customer Service & Patient Care:

Communication: Maintain professional communication with patients, medical staff, and visitors. Ensure all patients are informed of wait times and their appointment status.

Problem-Solving: Address any concerns or complaints promptly, and ensure a positive outcome for patients while maintaining the clinic’s policies.

Multitasking: Handle multiple tasks simultaneously while remaining organized and focused on patient care.
5. Clinic Environment Maintenance:

Clinic Presentation: Ensure the reception area is clean, organized, and welcoming at all times.

Safety & Hygiene: Follow safety and hygiene protocols, especially in the handling of patient materials and during interactions with visitors and patients.
